This role sits within the Corporate Compensation and Equity team, which is responsible for setting the global compensation strategy and managing equity and executive compensation strategy and administration. You will report directly to the Global Head of Corporate Compensation and Equity and play a key role in shaping the compensation landscape for our employees worldwide.

About the Role:

We're seeking a highly motivated and detail-oriented Equity Admin to play a critical role in the administration of our equity compensation programs. In this exciting opportunity, you'll be responsible for managing all aspects of our equity plans, ensuring accuracy, efficiency, and a positive participant experience. You will be a key player in optimizing our equity administration processes and contributing to the strategic development of our equity programs.

What You'll Do:

  • Equity Plan Administration: Manage all aspects of our global equity compensation plans, across all Wayfair locations across North America, UK, EU, and Asia. Equity plan administration involves:
    • Processing grants, exercises, and vestings.
    • Preparing and submitting board lists for grant approvals.
    • Managing and communicating trading window updates and restrictions.
  • Fidelity PSW Management: Serve as the primary administrator for our equity plan platform (Fidelity PSW), maintaining accurate participant data, managing transactions, and generating reports.

Participant Communication and Education:

    • Develop and deliver clear communications to employees regarding equity programs, policies, and procedures.
    • Create educational materials and resources to enhance participant understanding.
    • Proactively engage with employees to address questions and ensure comprehension of their equity awards.
  • Vendor Management: Manage relationships with equity compensation vendors (e.g., Fidelity), overseeing performance, addressing service issues, and ensuring compliance.
  • Process Improvement: Continuously analyze and improve equity administration processes, identifying opportunities for automation, streamlining workflows, and implementing best practices.

Monitoring and Reporting:

    • Monitor and track key equity performance indicators (e.g., dilution).
    • Provide regular reports to management and the Board of Directors.
    • Analyze trends and recommend mitigation strategies.
  • Internal Audit Controls: Ensure compliance with internal audit controls related to equity compensation, participating in audits and implementing corrective actions.
  • Compensation Strategy: Partner with the Compensation team to develop and implement equity compensation strategies that align with business objectives and attract and retain top talent.
  • Data Analysis and Reporting: Conduct analyses to evaluate program effectiveness and identify areas for improvement, preparing reports and presentations for management and the Board.
  • Cross-Functional Collaboration: Partner with teams across Wayfair, including Legal, Payroll, Accounting, FP&A, and others to deliver on equity initiatives.
  • Workday Integration: Collaborate with HRIS to ensure seamless integration of equity data and processes with Workday, our HRIS system. This includes data uploads, reconciliations, and reporting.

What You'll Need:

  • Bachelor's degree in Business Administration, Finance, or a related field.
  • 1+ years of experience in equity administration, preferably with experience using Fidelity Plan Sponsor WebStation (PSW).
  • Strong understanding of equity compensation plans, regulations, and best practices.
  • Advanced proficiency in Excel, including data manipulation, modeling, and reporting.
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities.
  • Experience or interest with equity compensation plan design and strategy.
