MongoDB is searching for an Executive Assistant based out of New York, NY to support three members of our People Leadership Team. Your day will consist of managing and prioritizing a steady stream of requests, such as calendar management, booking travel, completing expenses and various side projects. To succeed, you’ll need to balance these multiple tasks. You will need to have an ability to build relationships quickly, and adapt to different working styles. You should feel comfortable interacting with high-level executives and operating in a fast-paced environment. This position is ideal for someone who is organized, accountable and is looking to further develop their career.
Responsibilities:- Manage executive calendars by collaborating with peers in a prompt and creative way, to accommodate challenging and last minute requests
- Research, book, and amend, all travel and manage changes as they arise
- Serve as a liaison between the executive and internal/external stakeholders
- Track and submit expenses
- Plan on-sites and offsites (domestic and international)
- Work with our procurement & legals team to manage contracts and billing for larger events
- Track action items and key deliverables to closure with a high degree of integrity and accountability
- Attend meetings to take detailed notes and distribute action items
- Able to accommodate multiple time zones when execs are traveling
- Prioritize a steady stream of requests, exercising judgment on prioritization with minimal guidance from executives
- Collaborate with other People Team members to support various initiatives such as the ERG or recruitment events
- Support ad-hoc administrative and operational tasks as needed.
- Keep strict confidentiality of all business critical and proprietary information that you may be exposed to with discretion and professionalism.
- Assist with onboarding new People Team hires when requested
- Open to travel when needed on occasion
- Pay close attention to detail and professionalism during all email communications especially with executives, board members and customers
- 5+years experience as in administrative or executive support work, prior experience in tech is highly advantageous
- Bachelor's Degree or equivalent work experience is preferred
- Proven experience supporting senior executives in a fast-paced environment
- Highly organized and detail-oriented
- Exceptional verbal and written communication skills
- Proficiency with Google Apps (Gmail, Google Docs, Google Calendar), Concur, Zoom preferred
- Familiarity with project management tools (ex: Monday.com) a plus
- Ability to anticipate needs and take initiative
- Creative, flexible, and innovative team player
- Experience with vendor sourcing, planning offsites and special projects
- Open to feedback and growth opportunities
- Able to handle highly sensitive and confidential material
- Experience booking both domestic and international travel
- Interest in HR/Employee Experience is preferred but not required

MongoDB’s base salary range for this role is posted below. Compensation at the time of offer is unique to each candidate and based on a variety of factors such as skill set, experience, qualifications, and work location. Salary is one part of MongoDB’s total compensation and benefits package.
