About the role: 

The Executive Assistant (EA) provides the highest level of executive support to the Chief Executive Officer and Executive Leadership Team (ELT) and serves as a key leader for the Executive Assistant team. 

The role requires high levels of autonomy, responsibility and discretion while quickly responding to various inquiries and administrative needs. The ideal candidate will thrive in a humble and hard-working environment and take pride in elevating the efficiency and effectiveness of the CEO’s time.   

An Executive Assistant must have regular and reliable attendance, and scheduling flexibility to ensure continuity of support, and must be resourceful in building relationships across the Nintex ecosystem. 

This position is required to be in our Bellevue office up to three (3) days per week.  

Your contribution will be:  

  • Calendar & Time Management: Oversee a dynamic calendar (CEO) and partner across multiple complicated diaries (ELT). Handle multiple requests for the Executive’s time, using strong judgment in prioritizing requests.
  • Meeting Coordination: Schedule and manage internal and external meetings, including team meetings, departmental off-sites, one-on-ones, speaking engagements, and personal engagements. Coordination often involves parties across all Nintex regions (AMER, APAC, EMEA) and potentially all global time zones. Keep executive leadership team meeting minutes and agendas.
  • Project Management: Work closely with our CEO, ELT and Office of CFO to drive cross-functional projects and associated timelines. Own or facilitate the deliverables on key projects, tracking progress and driving deadlines.  
  • Travel & Expense Management: Coordinate all CEO travel, including booking all domestic and international travel.  Manage expense reimbursement in a timely and accurate manner.
  • Presentation & Communications: Build and manage various team and company presentations, collaborating with cross-functional leadership teams for quarterly All Hands meetings. Assist in drafting professional communications and compelling meeting materials, working closely with the team to brainstorm tone and messaging; handle logistics and scheduling of key organization-wide communication
  • Team Management: Manage CXO-aligned global EA team including tactical and technical execution of duties, but also long-term career development.  
  • Culture Contribution: Act as a culture-contributor by highlighting and celebrating important team cultural and career moments (i.e.: work anniversaries, and special personal life celebrations, etc.). Support key global and Bellevue Office initiatives such as learning sessions, onboarding, employee and workplace experience events, etc. 

To be successful, we think you need:  

  • 15 + years’ experience supporting C-level executives 
  • 7 + years’ experience managing projects of various scope and complexity 
  • 5+ years’ experience managing teams   
  • Experience in high growth & scaling tech environments, ideally private equity sponsored.  
  • Expertise in companies with a global, distributed workforce
  • Experience crafting executive level materials  
  • Ability to drive business outcomes autonomously and effectively in a fast-paced environment, and to effectively balance multiple high priority initiatives at once
