ABOUT THE ROLE

As the Finance & Operations Associate, Indonesia at Purpose, you will manage and coordinate financial, administrative and operational aspects for our Indonesian team to ensure the successful delivery of projects with our clients/partners. Working jointly with the locals Project Manager and Project Lead(s) - with oversight from our Financial Director in India -  you will be responsible for managing the day-to-day financial operations of our projects and operational matters for the team. 

We are open to candidates based anywhere within Indonesia, with a preference for Jakarta and Jogjakarta. This role requires fluency in Bahasa Indonesia and English.

This is a Full Time Freelance/Contract role for a duration of 1 year, with a strong possibility of conversion. This is a rolling recruitment which means that the job will stay open until we find the right candidate, but encourage you to apply as soon as possible.

RESPONSIBILITIES

Vendor Contracts Support:

  • Review, processing and tracking of all Scopes of Work in Indonesia
  • Managing vendors

Payments (Vendor/Contractor/staff reimbursement):

  • Review of invoices and working with global Finance team for processing
  • Liaison with Project Manager and Project Leads for approvals on contractor payments
  • Review of all logistics for processing reimbursements 
  • Coordination with vendors on all matters related to invoicing
  • Updating of payment tracker and monthly forecasting sheet
  • Creating expense/advance reports

Travel & IT Support: 

  • Supporting on all travel related payments
  • Point of contact for coordination with the Global IT team

Client Invoice & Agreements:

  • Raise and draft the client invoices in coordination with respective Project Manager as per signed agreements
  • Reviewing of client invoices 
  • Providing support to Project Manager during the agreement signing phase, and support on providing required documents to clients as per their requirements.

Management of Credit Card Payments:

  • Supporting payments to Online and Social Media Platforms for Digital Campaigns
  • Supporting payments to FB/ Twitter and Google ads account as per project requirements
  • Coordinating with staff members for making payments using Credit cards

Administration

  • Note taking during meetings and compiling summaries
  • Sending invitations for events and project activities
  • Other general administrative tasks

ABOUT YOU

We think you will be a successful candidate if you have:

  • Experience in finance and office administrative support, executive assistant or a similar role
  • Excellent organisation, communication and time management skills
  • High degree of accuracy and attention to detail
  • Proactive attitude and problem-solving spirit
  • Familiarity with accounting principles 
  • Excellent computer literacy 
  • Proficient with the use of spreadsheets 
  • Excellent people management skills
