As a leader in fleet management, we're leveraging our expertise to enter the AV space, forming strategic partnerships with cutting-edge technology providers. We're looking for dedicated team members to help us pioneer this new chapter, starting with our first AV depot in Nashville, Tennessee.

Reporting to the Operations Manager, AV Deployment, Flexdrive is seeking a meticulous and security-conscious Material Coordinator to manage the critical parts and inventory infrastructure supporting our 24/7 AV operations. This role is essential to maintaining fleet readiness by ensuring technicians have immediate access to required parts while maintaining strict security protocols for IP-sensitive components. You will be responsible for the complete parts lifecycle from procurement through consumption, utilizing an SAP system for all transactions while safeguarding high-value autonomous vehicle technology.

Responsibilities:
  • Day Window Shift Pattern
    • This role supports 24/7 AV depot operations and requires availability to work day shifts, with hours scheduled between 6:30 AM - 9:30 PM. Specific shift times and schedules will be determined based on operational needs and business requirements.
  • Inventory Management & Control:
    • On-Site Inventory Oversight: Manage comprehensive on-site inventory including critical AV components, consumables, and spare parts, ensuring optimal stock levels to support 24/7 maintenance operations.
    • System Transaction Management: Execute all parts movements through partner inventory management system including inbound receipts, consumption in work orders, outbound transactions, cycle counts, and discrepancy reconciliation per partner requirements.
    • Procurement Coordination: Initiate and track parts deliveries from central warehouses, managing lead times and expediting critical orders to prevent fleet downtime.
    • Inventory Accuracy: Conduct regular cycle counts as requested by partners and support annual full physical inventory counts, maintaining 99%+ inventory accuracy standards.
    • Dock & Logistics Management: Manage the physical intake of daily freight deliveries, including safely unloading trucks, inspecting pallets for structural integrity, and operating dock plates or lift gates.
    • Job Kitting: Pre-pick and "kit" parts for scheduled repair work orders to minimize technician wait times at the parts counter.
  • Parts Security & Proprietary Component Protection:
    • Proprietary Hardware Management: Maintain strict security protocols for autonomous driving system components and other proprietary parts, ensuring storage in physically secure, limited-access areas per chain of custody standards.
    • Secure Storage Implementation: Manage locked cage/room access for critical components including high-value electronic modules, ensuring only authorized personnel have access.
    • Chain of Custody Compliance: Document and maintain complete chain of custody for all proprietary hardware, preventing unauthorized access, resale, or disposal without written authorization.
    • Specialized Component Protocols: Strictly adhere to specialized handling guidelines for sensitive electronic components, including specific procedures for different firmware versions.
    • Service-Parts Integration: Allocate parts inventory to active work orders, coordinate parts availability with repair schedules, and ensure consumption is properly tracked to vehicle/work order for warranty and billing accuracy.
  • Quality Control & Compliance:
    • Non-Conforming Parts Management: Maintain designated quarantine areas for faulted or non-conforming parts, using inventory systems to clearly communicate status and prevent allocation to vehicles.
    • Discrepancy Reporting: Report any inventory discrepancies (overages, shortages, incorrect parts, damage) to partner aftermarket and inventory teams within 24 hours of discovery.
    • Goods Receipt Verification: Verify all inbound shipments against shipping documents (packing lists, bills of lading) within one business day, inspecting containers for shipping damage.
    • Documentation Compliance: Maintain all required inventory documentation per partner standards, ensuring audit readiness and regulatory compliance.
  • System Operations & Reporting:
    • Fleet Management Tool Usage: Log all parts consumption in the fleet management system, ensuring accurate tracking of parts usage per vehicle and work order.
    • SOP Adherence: Conform to all inventory management SOPs and hardware line item transaction procedures as released by partners.
    • Serial Number Tracking: Maintain accurate serial number records for all serialized components, ensuring traceability throughout the parts lifecycle.
    • Reporting & Analytics: Generate inventory reports, analyze consumption trends, and provide insights to optimize stock levels and reduce carrying costs.
  • 24/7 Support & Coordination:
    • Availability: Schedules may include weekends and holidays based on depot operational requirements.
    • Mobile Support Leadership: Provide on-call support via mobile phone for late night and weekend crews, answering inventory questions and troubleshooting system issues remotely.
    • Multi-Site Coordination: Travel between depot, warehouses, and third-party locations (body shops, dealerships) as needed to coordinate parts transfers and manage off-site inventory.
    • Vendor Interface: Coordinate with parts suppliers, logistics providers, and third-party repair facilities to ensure seamless parts availability and movement.
    • Cross-Shift Communication: Maintain detailed handover documentation ensuring continuity of inventory operations across all shifts.
  • Safety & Environmental Compliance:
    • Hazardous Materials Management: Handle and store hazardous materials (batteries, fluids, chemicals) according to NFPA standards and EHS requirements.
    • Waste Stream Management: Properly characterize and segregate waste streams with appropriate signage, coordinating disposal per environmental regulations.
    • PPE Compliance: Use required personal protective equipment when handling parts and materials, following all safety protocols for material handling and storage.
    • Emergency Response: Support emergency response procedures for spills, thermal events, or other material-related incidents.
    • Material Handling Safety: Operate forklifts and pallet jacks in high-traffic depot environments, adhering to pedestrian safety zones and spotter protocols when moving large creates or heavy powertrains.
  • Technical Requirements:
    • Proficiency with ERP or similar inventory management systems
    • Ability to use fleet management tools for parts consumption tracking
    • Competency with mobile devices and inventory scanning equipment
    • Basic Microsoft Office/Google Workspace skills for reporting
    • Understanding of inventory management best practices (FIFO, cycle counting, ABC analysis)
Experience:
  • High school diploma or equivalent required; Associate degree in Supply Chain, Logistics, Business, or related field preferred.
  • 3+ years of experience in inventory management, parts coordination, or supply chain operations, preferably in automotive or fleet maintenance environments.
  • 2+ years of experience with ERP systems (SAP strongly preferred) including inventory transactions, cycle counting, and reporting.
  • Demonstrated experience managing high-value or sensitive inventory with strict security requirements.
  • Strong attention to detail with a proven track record of maintaining high inventory accuracy (98%+).
  • Experience with automotive parts nomenclature, identification, and handling procedures preferred.
  • Physical capabilities include the ability to lift up to 50 lbs unassisted, maneuver heavy automotive components (100+ lbs) using pallet jacks, team lifts, or other material handling equipment, stand/walk for extended periods, and operate material handling equipment.
  • Forklift Certification: Willingness to obtain and maintain OSHA-compliant forklift certification (sit-down/stand-up) within 30 days of hire. Current valid forklift certification and prior heavy-part handling experience is a plus.
  • Excellent organizational skills with ability to manage multiple priorities in a fast-paced environment.
  • Strong communication skills for coordinating with technicians, vendors, and management across all shifts.
  • Valid driver's license with clean driving record for travel between locations.
  • Flexibility to work various shifts and provide on-call support during nights/weekends as needed.

The expected base pay range for this position in the Nashville area is $20.11 - $25.13 per hour, not inclusive of potential equity offering, bonus or benefits. Salary ranges are dependent on a variety of factors, including qualifications, experience and geographic location.
