Role: Operations Coordinator

About the role:
We are seeking an organized and detail-oriented Operations Coordinator to join our dynamic team. The successful candidate will be responsible for supporting various operational functions to ensure the smooth and efficient running of our business processes. The ideal candidate will have strong data collection and analysis skills, excellent communication abilities, and the capacity to multitask in a fast-paced environment.
What you will be doing:Data Collection, Validation, and Reporting
- Gather and validate weekly timesheet data from a vast network of freelancers.
- Gather and analyse data for both internal and client facing reports.
- Own and update a weekly budget and forecast report for client.
- Create and manage templates for data reporting, adapting to changing requirements.
- Assist in the creation of presentation decks for client reports.
Commercial & Financial Management
- Create cost estimates for clients, ensuring accuracy and timeliness.
- Assist in managing budget forecasting by updating both internal and external documents and reports.
- Manage timecode creation, estimate generation, intercompany transactions, sales orders, and maintain account reporting health on an internal ERP tool.
- Validate network expenses for accuracy and compliance.
- Validate and process network POs, track approvals, and coordinate with AP team over network invoicing/payment queries.
Administrative Support
- Support the team with day-to-day tasks, including general admin where required.
- Facilitate network onboarding for new members such as account creation, access management, and troubleshooting support.
- Plan and coordinate equipment needs for new starters.
- Update and maintain internal Sharepoint site and folder structure, ensuring all files are organized and current.
- Support with general network queries, or direct to the appropriate team members for timely resolution.
You will be open and willing to attend sustainability training relevant to your role and soak up recommended research and reading about sustainability issues
What you need to be great in this role:- Bachelor's degree in Business Administration, Operations Management, or a related field.
- Proven experience in an operations or administrative role.
- Strong proficiency in Microsoft Office suite, especially Excel.
- Experience with ERP systems, particularly in areas related to sales orders and estimates.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.

Preferred Skills:
- Experience with SharePoint and other data management tools.
- Familiarity with macOS software.
- Knowledge of time and expense validation processes.
- Ability to handle high-pressure situations and tight deadlines.
