We’re looking for a Proposal Specialist to join the Procurement, Proposals & Customer Assurance Team. In this role, you will partner with Sales, Customer & Expansion and Presales to manage the RFP process end-to-end, including leading RFP projects, building and enhancing content and templates and delivering enablement. You’ll be driving revenue by supporting the Global Revenue Organization to create well-crafted, accurate proposals that address our existing and prospective global customers’ technical and organizational needs.

In line with Hootsuite's distributed workforce strategy, our flexible work arrangement allows for remote work or a hybrid model. This role is open to applicants located in Vancouver, BC, or Toronto, Ontario. In this role, you will report to the Senior Manager, Procurement, Proposals and Customer Assurance.

 

WHAT YOU’LL DO: 

  • Lead the full Request for Proposal (RFP) process including but not limited to intake, qualification, project management, project team meetings, review, submission of bid to customer, etc. for net new and existing customer renewals and expansion opportunities globally. 
  • Provide valuable support throughout the process (bid qualification to submission) by leveraging your bid management expertise and/or by leaning on internal subject matter experts to ensure successful proposal submission. 
  • Develop and maintain strong relationships with key stakeholders and internal clients in the Revenue, Product, Security and Marketing departments. 
  • Communicate proposal processes and provide guidance and recommendations to the revenue organization and involved stakeholders across the organization.
  • Produce accurate and compelling proposal documents. 
  • Build and maintain existing proposal templates and content. 
  • Ensure brand, messaging and product content is correctly represented on all collateral and identify opportunities to improve content, ensuring it is standardized, reusable, and easily accessible. 
  • Coordinate internal processes and sign-offs to ensure compliance with legal and financial guidelines. 
  • Maintain accuracy and relevance of Salesforce reports by ensuring daily data input and updating records according to project status to track proposal management metrics globally. 
  • Support new hires on the proposal management & related processes during onboarding. 
  • Develop and deliver proposal management enablement for teams globally.
  • Maintain existing proposal automation tools including data integrity, program design and maintenance. 
  • Proactively identify and recommend opportunities to improve the proposal management processes, both internally and externally for Hootsuite's 3rd party partners. 
  • Other related duties as assigned 

 

WHAT YOU’LL NEED: 

  • Some relevant, practical experience in Proposals Marketing, preparing proposals in SaaS or technology industry, or equivalent combination of education and experience.
  • Exceptional writing, editing/formatting, organization, time management and project management skills are a must.
  • Working proficiency in Hootsuite, RFPio (or other proposal automation tools), Salesforce, G Suite Applications, and video conferencing software, or the ability to quickly learn and understand new software.
