About the Role

The BPO Administrator is a key operations partner supporting Xometry’s global outsourcing (BPO) ecosystem.This role ensures the smooth functioning of all BPO processes — from maintaining accurate documentation to coordinating onboarding workflows and collaborating with internal teams.

It is a position for someone who can keep order across multiple parallel processes, maintain precise documentation, communicate quickly and clearly, and work effectively with data.

Key Responsibilities 1. Administrative & Compliance Support
  • Maintain & track all BPO-related documents:Master Service Agreements (MSAs), Statements of Work (SOWs), Work Orders, onboarding/offboarding forms.

  • Coordinate document flow between Legal, Finance, HR, IT, and vendors.

  • Ensure timely updates in Confluence, Jira, Google Sheets, internal databases.

  • Validate that all required documentation is completed before onboarding or contract renewal.

2. Business Support & Request Management
  • Act as first point of contact for internal BPO requests.

  • Review & validate incoming submissions (FTE count, start dates, time zone needs, skill requirements).

  • Route requests to Finance, Procurement, Legal & HR, ensuring approval flow.

  • Maintain transparent communication with requesters and vendors on progress.

3. Operational Coordination
  • Support end-to-end onboarding/offboarding of BPO employees with IT & HR.

  • Maintain accurate records: vendor performance, milestones, billing cycles.

  • Assist in preparing reports on headcount, budget utilization, vendor KPIs.

Requirements Required
  • Bachelor’s degree in Business Administration, Operations, or a related field.

  • 2+ years of experience in:

    • administrative operations

    • vendor management

    • shared services

  • Excellent organizational and communication skills.

  • High attention to detail & accuracy.

  • Ability to manage multiple simultaneous requests.

  • Proficiency in Excel/Google Sheets, Confluence, Jira.

  • Experience working with international teams.

Preferred
  • Experience in outsourcing, BPO, or contract administration.
