The role

The Workplace Team is responsible for providing the infrastructure and workspace for our Berlin Campus buildings and driving innovation across the international organization. As Sr. Manager Workplace Operations, you will be part of the Workplace Team based in Berlin at our Moibit creative studio, reporting to the Associate Director of Workplace.

You will oversee the daily operations of our Berlin Creative Studio. You will lead the Workplace Operations and Front Desk Management teams to ensure best-in-class services and experiences for all employees while on campus. Partnering with the FM team, you will leverage strong collaboration and communication within the team and with other departments to ensure alignment and effective operations. Your role is to create and maintain an environment where our employees enjoy coming to work in a professional, healthy, safe, and welcoming setting.

You will oversee all aspects of campus management,  and operations, while developing the space to reflect our corporate culture.

What you’ll do
  • Operational Excellence: Oversee all aspects of workplace hard and soft services, promptly addressing operational issues, requests, and complaints to maintain a high standard of workplace functionality. Collaborate closely with the Senior FM to ensure alignment and effective operations for the creative studio location.
  • Strategic thinking: Utilize advanced knowledge of workplace dynamics and interdependencies to drive initiatives that enhance workplace efficiency and employee satisfaction.
  • OKR Management: Collaborate with stakeholders to advise OKRs to Sr. Workplace leadership and execute on those goals, development projects, and initiatives, ensuring alignment with departmental and company objectives. Build a roadmap for the year and confirm OKRs for the Creative Studio location.
  • Budget Oversight: Develop and manage the annual location operations budget in conjunction with Workplace leadership, optimizing resources and financial planning in alignment with strategic goals.
  • Stakeholder Engagement: Foster strong relationships with internal stakeholders across departments and markets, ensuring alignment of workplace operations with their needs and expectations.
  • Performance Metrics: Define and track key performance metrics related to location operations, leveraging data-driven insights to continuously improve workplace experiences and drive organizational change.
  • Space Strategy and Landlord Liaison: Lead the space strategy supporting our growing workforce, serving as the primary point of contact for our Berlin landlord to maintain efficient and safe buildings.
  • Process Improvement: Design and implement new processes and programs to enhance day-to-day experiences for all employees through the analysis of workplace data.

Cultural Integration: Extend and translate our company's values into daily operations and the workplace environment, ensuring our campus reflects inclusivity and supports diverse backgrounds, cultures, and working styles.

What you’ll bring
  • Experience: 5+ years of experience in workplace operations, facilities management or a related field, with advanced knowledge of industry best practices and trends.
  • Analytical Skills: Strong analytical and problem-solving abilities, with a proactive approach to driving innovation and process improvement.
  • Communication: Exceptional communication and collaboration skills, with the ability to effectively engage with stakeholders at all levels.
  • Languages: Able to converse in German (B2) and English (C2)
  • Customer Service: A strong foundation in customer service and experience managing stakeholder expectations.
  • Decision Making: Ability to make decisions based on rational reasoning and data and to consolidate and present data confidently to senior management.
  • Independence: Capability to work independently as well as lead and motivate cross-functionally towards project goals.
  • Adaptability: Thrives in a fast-paced environment, energized to come to work to make an impact.
  • Technical Competence: Proficiency in managing workplace systems and tools to support effective operations and data analysis.
