The PITCH.
We are looking for a highly organised, energetic, commercially minded and motivated VP of Project Management who doesn’t get phased by the volume of work and the pace. Who can think big and strategically, but be in the weeds when needed. Has a passion for motivating the next generation of talent.
You are equal parts project director as producer in your mindset, understanding the full 360. You know modern marketing and understand social platforms as much as you know how to make a TV commercial. You understand the various media channels and how to integrate them into your planning from day one. You are curious and always learning and have a ‘yes’ mindset, a creative problem solver and who operates with ultimate flexibility when it comes to getting things done.

Here’s where you come in…
Overall Responsibilities:
- Serve as senior lead on large-scale portfolios of businesses, partnering with Client Partnership VPs, Group Creative Directors, and other department leads (Strategy, Production, Tech, Media) regularly on business priorities and portfolio-specific processes.
- Work with Client Partnership and Finance leads to define and monitor overall portfolio approaches, deliverables, staffing plans, and agency fees.
- Understand each client engagement, including business objectives and priorities.
- Serve as a key lead on all aspects of project and retainer financials within a portfolio - ensuring proper processes, tracking methods, and escalations are being adhered to.
- Provide strategic program planning and oversight on a variety of marketing and advertising work, including proprietary models (Strategic Organic Content and the Vayner Volume Model) and ongoing retained work.
- Review budgets, project plans, and SOWs with an understanding of best practices, potential third-party capabilities, time requirements, and broader portfolio business objectives.
- Partner with department leads in retainer scopes, procurement requirements, and larger business planning with clients.
Client Relationship Management:
- Lead client discovery and scoping with business lead.
- Develop budget, staff plan, and related contracts.
- Align key internal and client stakeholders on the onboarding process and key ways of working.
- Provide significant support to the PM during the first 100 days of client engagement.
- Serve as a primary point of contact for key client relationships, ensuring client satisfaction and retention.
- Oversee project budgets, resource allocation, and timelines to ensure projects are delivered on time and within scope.
- Continuously evaluate project performance and implement improvements to optimise efficiency and effectiveness.
- Confidently see work through to production and advise on/scoping production partners.
- Collaborate with internal stakeholders (creative, media, account management) to ensure seamless project execution from inception to delivery.
- Stay abreast of industry trends and developments, leveraging insights to enhance project management capabilities.
Department/Team Management:
- Mentor and train Project Managers to ensure optimal team dynamics and individual career growth.
- Responsible for the operation, customisation, and improvement of team processes necessary for each portfolio’s business needs.
- Provide a pivotal communication, escalation, and negotiation point to the team.
- Support PM department head globally in developing, vetting, and implementing process and training initiatives for department staff.
- Work with other senior department leads to maximise operational efficiencies and define processes on the team, project, and portfolio levels.
- Drive operational excellence by establishing and refining project management processes and best practices, feeding into the product excellence team to help roadmap iterations on products and highlight potential new products.
- Develop data-driven approaches to project management embedded within our WorkFront system to provide insights into future demand and drive high-quality decision-making.
- Lead, mentor, and inspire a team of project managers, working closely with global teams and the head of to stay abreast of the latest global product roadmaps.

- 10+ years experience in project management roles within advertising, media, or related industries, having held a similar position or been a director of project management/production.
- Extensive international project management experience, managing campaigns and always on work streams across diverse markets
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients and internal stakeholders.
- Strong leadership skills with the ability to inspire and motivate teams to achieve exceptional results.
- Deep understanding of project management methodologies and tools
- Highly strategic thinker with the ability to anticipate challenges and develop proactive solutions whilst being collaborative, positive, and open to feedback
- Demonstrated success in driving operational efficiencies and process improvements.
- Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities simultaneously.
- In-depth understanding of creative agency processes and best practices
- Experience working with cross-functional teams and senior leadership to make complex staffing decisions
- Experience of building a project management team that includes implementation of staff plans, schedules, cost management plans, and reports & evaluate portfolios for both skills and subjective quality
- A strong black-book of partners that you’ve previously worked with, and ability to vet new ones to meet our creative and media needs
