The Finance Assistant is a key member of the Accounting and Control team - the engine room of the Secret Escapes finance function. Secret Escapes has operations across the globe, and this broad and varied role will play a key part in accounting, reporting and control activities for the Secret Escapes Group. 

 

We are pushing ourselves to produce more timely and accurate financial results to the Secret Escapes Group and external stakeholders.  An integral part of providing real-time reporting is ensuring that all transactions are posted and reconciled accurately in the Group accounting system (Netsuite), and that we’re making the most of technology to create scalable and efficient processes. 

 

You will be expected to be an essential support to the Finance team and the wider business by ensuring invoices and expense claims are captured in a timely and accurate manner, helping stakeholders understand their costs and supporting colleagues across the business with queries on expenses and invoicing, managed on the Group invoicing and expense system (Concur).

Things you’ll be working on

  • Processing invoices and expense claims in Concur, making sure costs are allocated accurately across departments and territories
  • Creating and maintaining user & vendor accounts in Concur and NetSuite, including the onboarding of both new vendors and employees to our systems
  • Conducting weekly payment runs for supplier invoices and employee expenses
  • Supporting the month end close process around creditors, accruals and prepayments, including balance sheet reconciliations and reviewing purchase orders
  • Monitoring and distributing emails sent to the Accounts mailbox
  • Being the first point of contact for Concur-related queries and developing training processes across the business
  • Helping to improve and develop data capture, systems and processes appropriate to the business
  • Supporting and assisting the team with year-end audit preparations

 

The deal breakers

  • Understanding of basic accounting principles and processes
  • Excellent attention to detail
  • Good knowledge of Microsoft Excel
  • Organised and able to prioritise and multitask in a fast-paced environment 
  • Excellent verbal communication skills, with the ability to communicate clearly, effectively, and appropriately with colleagues at all levels
  • Willing to adapt and pick up new techniques, whilst keen to make a difference to existing processes
  • Cleared to work in the UK/EU

 

Beneficial but not essential

  • Prior experience with invoice and payments processing, ideally across many different countries and currencies
  • Experience with NetSuite
  • Experience with Concur
  • Relevant accounting experience
  • Almost any other European language is helpful – German is ideal

Someone who is keen to have real ownership within a business, a technically confident team player with excellent communication skills. A self-starter who can deliver high quality outputs independently, prioritise and multi-task in a fast-paced environment, and shows excellent attention to detail whilst being pragmatic and commercially aware.
