We are seeking a San Francisco-based, thoughtful, dynamic, highly organized Executive Assistant to support 3 of our Finance leaders -(1) Accounting Operations, (2) Tax and Treasury and (3) Investor Relations. This role offers a unique opportunity to be involved in high-level strategic decision-making and work closely with senior executives, while playing a critical role in ensuring seamless operations within the finance department.

Key Responsibilities:
  • Executive Support: Provide high-level administrative support to the above mentioned leaders, including managing calendars, coordinating internal and external meetings,  arranging domestic and international travel, facilitating team building meetings/ events, expense and budget assistance, and procurement administration
  • Communication Management: Act as a liaison between the finance department and internal/external stakeholders, ensuring timely responses to inquiries and 
  • communications. Facilitate smooth communication by drafting, editing, and reviewing certain presentations, reports, ad-hoc communications for clarity, accuracy, and impact.
  • Project Coordination & Execution: Manage and track progress on key initiatives, from inception to completion. Collaborate with cross functional stakeholders and project teams, assist in resource allocation, and monitor project timelines to ensure deadlines are met. Provide regular updates to senior leadership regarding the status of projects.
  • Presentation & Report Preparation: Assist in the creation of presentations for internal meetings and external stakeholders, ensuring content is clear, concise, and visually appealing. Simplify, prepare and organize abstract concepts into easy-to-understand presentations for key stakeholders as needed. 
  • Meeting Coordination & Follow-Up: Schedule and manage internal and external meetings, including preparing agendas, handling logistics, and ensuring proper follow-up with action items. Take detailed meeting notes and help track action items for follow-up. Support interdepartmental communications to align finance goals with company-wide initiatives.
  • Confidentiality & Compliance: Maintain confidentiality and discretion in handling sensitive financial data, corporate matters, and internal communications. Ensure all internal documents adhere to compliance and governance standards.
  • Ad-hoc Support: Assist with various administrative and operational tasks as needed, ensuring smooth functioning of the finance department. Offer proactive solutions to improve operational efficiency.
Requirements:
  • Experience: Minimum of 5 years as an executive assistant, with at least 3 years supporting senior finance or accounting leadership, preferably within a SaaS or tech-driven environment.
  • Skills:
    • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), Google Workspace, and project management tools (e.g., Asana, Trello).
    • Strong organizational, time management, and multitasking abilities and the ability to cover a wide array of topics and tasks.
    • Excellent communication skills, both written and verbal, with a proven ability to tailor messages for different audiences ranging from executives, customers, prospects, broad members, and investors 
    • High proficiency in creating compelling presentations and financial reports.
    • Ability to manage sensitive information with discretion and professionalism.
    • Proven ability to work independently, handle multiple priorities, and maintain calm under pressure.
  • Education: Bachelor's degree in business administration, finance, accounting, or a related field preferred, or equivalent experience.
  • Personal Attributes: High attention to detail, proactive, and capable of working under pressure in a fast-paced environment. Strong problem-solving abilities and a collaborative mindset.

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, New York, and Washington is between:$93,000—$139,000 USD The annual base salary range for this position for candidates located in the San Francisco Bay area is between: $104,000—$156,000 USD
