As a Facilities Associate within our EU HQ in Berlin, you will be assisting in creating a safe, welcoming and efficient environment for our employees whilst promoting Wayfair culture. Your role will be employee facing and you will also work with a variety of vendors and visitors. 

 

This role is onsite 5 days a week - Monday to Friday

 

  • Oversee our front desk agent, ensuring that this individual is consistently providing an exceptional experience for guests, employees & vendors. .
  • Establish and maintain relationships with outside vendors as necessary for site maintenance; administer local contracts and maintenance agreements. 
  • Proactively identify ways in which to improve our office environment and facilities management processes. 
  • Support with finance and invoice processing, including vendor management and collaboration with our finance teams to ensure speedy payment of our vendors. 
  • Provide support for the onboarding of new employees to the Berlin office
  • Work cross functionally with other internal and external stakeholders on day to day and events based tasks. 
  • Support with the organization and administration of office health & safety programmes, including fire marshall & first aid training. 
  • Support with the coordination of office events, including board meetings, corporate parties, staff giveaways etc
  • Collaborate closely with the global Community Experience team who are based in Europe, North America and Asia to leverage best practice standards across our global team.
  • Management of contracts for the Facilities Management and Janitorial Management of the building. 
  • Working closely with the landlord to address any issues and resolve them in a timely manner

 

Requirements:

  • Minimum 2+ years of experience in office or facilities management within a fast paced environment. 
  • High level of proficiency in Google Suite,with the ability to pick up new systems quickly.
  • Fluent English skills, German B2 minimum. 
  • Great communication skills (written, verbal and non-verbal). 
  • Organized and structured mindset.
  • Positive attitude and self motivated (“Customer first” attitude; Going the extra mile).
  • Great problem solving skills and a detail-oriented work approach.
  • Ability to quickly adapt and address complex challenges in collaborative ways.
  • Can push/pull and /or lift up to 25kg
