✅The Role

We are looking for a reliable and proactive Part-Time Office Manager to support the smooth day-to-day running of our Helsinki office. 

The role would be required initially for 1 day per week, and would be ideal for someone who enjoys working independently and takes pride in keeping things organised, welcoming, and well-managed. You will be our on-the-ground support, ensuring the office is a great place to work.

✅Responsibilities and Duties

Office Operations:

  • Open and close the office on your working day
  • Keep the office clean, tidy, and well-stocked (coffee, snacks, supplies)
  • Liaise with building management and suppliers (cleaners, maintenance, etc.)
  • Manage post and deliveries

People & Culture Support:

  • Welcome visitors and new starters to the office
  • Support local onboarding logistics (desk setup, office tour, etc.)
  • Organise team events to build an innovative and engaging culture.
  • Assist with travel arrangements or accommodation for visiting colleagues

Administration & Coordination:

  • Keep basic documentation and inventories up to date
  • Manage invoicing and liaise with the finance team as needed
  • Help coordinate any ad hoc requests from the wider People team.

✅Essential

  • Previous experience in office management, admin, or facilities coordination
  • Highly organised with strong attention to detail
  • Proactive, friendly, and able to work independently
  • Fluent in Finnish and English
  • Comfortable with basic tools like Google Workspace or Microsoft Office
