We are seeking an exceptionally capable Assistant to join the VP of Research and Technology’s assistant team, working in close partnership with the Executive Assistant (EA). This role is responsible for executing the operational needs of the VP and supporting projects and initiatives to drive the VP, team and company’s priorities.

This role would suit an assistant who thrives in fast-paced, changeable environments, is hardworking and flexible, and enjoys working as part of a team! You will help put out fires, fill gaps, anticipate the needs of others and exercise sound judgement; you will need to be able to stay one step ahead and it’s imperative that you have accurate attention to detail.

The Role

Key responsibilities:

  • Proactively manage the VP’s complex and constantly evolving calendar of meetings and events, across numerous time zones, different offices, as well as internal and external stakeholders.
  • Execute the day-to-day operations of the VP’s schedule, time and requests.
  • Develop a strong working relationship with the VP and EA, thinking ahead, handling priorities, anticipating needs and challenges, proposing solutions to enable effective decision-making
  • Collate and maintain a daily briefing document for the VP, tracking actions and outputs, in partnership with the EA
  • Support with operational tasks and processes; suggesting ideas for continuous improvement to increase efficiencies
  • Understanding of the key stakeholders; build and maintain effective working relationships across the organisation
  • Partner on projects and events with the EA and Team of the VP, and wider partners, adding value and maximising impact
  • Organisation and execution of internal and external events, being the point of contact for speaking engagements when needed
  • Arrange frequent domestic and international travel for meetings, international office visits and speaking engagements e.g. hotel reservations, flight check-in, visas, detailed travel itineraries and overseas transport
  • Financial and legal administration e.g. compile expense claims, approve purchase order requests, contract creation, signature requests, etc.
  • Office management for the VP (incl. guests, space etc.)

  • Proactive, you are a self-starter and a natural problem-solver; you can anticipate what needs to be done without guidance and seek out time-saving solutions and tools.
  • Flexible in your approach, adapting to changing business demands and embracing ambiguity.
  • Open to new ways of working, curious and dedicated to continuous improvement for yourself and the team.
  • Solid communicator and active listener; you exhibit a high EQ.
  • Collaborative and thrives in a team environment.
  • Experience with Google Suite is preferable but not crucial.
