As an Office Manager, you’ll play a key role in the organisation of our Italian office (approx. 450sqm) in the centre of Milan. You’ll smoothen our existing processes and ensure that guidelines and measurements are in place and being continuously improved.

We want you to help turn the Milan office into a place where 50 dedicated employees can work with enthusiasm. You’ll work closely with your lead, the People Operations Manager, and other office managers around the world to get this office clean and organised.

What you’ll do

  • Providing first-line support to all visitors on the phone and in person by staffing the reception desk.
  • Maintaining lunch supplies, toiletries, drinks, and cleaning supplies.
  • Plan and organize office team events in consultation with other managers.
  • Maintaining office information flow, submitting invoices and invitations, and tracking executive tasks.
  • Managing the executive calendar, scheduling travel and accommodations, and tracking appointments.
  • Translating documents between Italian and English and drafting minutes.
  • Managing the budget for Office Management.
  • The filing of expense reports for the Milan Office Manager.
  • Assisting with the planning of high-level customer engagements and conferences, including coordinating with organisers on logistics and on-the-ground support.
  • Organizing the onboarding of new employees.

You’ll be great for this role if

  • You have great attention to detail and problem-solving skills.
  • You have knowledge of office management responsibilities, systems and procedures.
  • You have strong organisational and planning skills.
  • You have an understanding of team dynamics and how to motivate and help them. 
  • You have proficient computer skills and knowledge of office software packages.
  • You are fluent in English and Italian
