We are seeking a Construction Coordinator – Chewy Vet Care who will be responsible for administrative functions related to construction projects for Chewy Vet Care. In collaboration with construction project managers, this role will review and respond to RFIs, interpret construction documents, coordinate with construction and design teams on schedules, review and approve contractor payment requests, and develop cost estimates for change orders.  This is a critical role in support of simultaneous construction initiatives and is instrumental in the successful completion of our buildouts.

RESPONSIBILITIES

  • Project Management: Supports planning and execution of Chewy Vet Care buildouts, ensuring alignment with project timelines and budgets and in support of construction project managers field work. Partners to schedule and document milestone tasks through completion (i.e. landlord handover, GC kickoff, GC punch and facilities handovers)
  • Communication Liaison: Act as a point of contact between project Team Members, including external architects and contractors, and internal development teams, to facilitate smooth communication and collaboration. Review and answer RFIs with input from construction and design project managers.
  • Document Management: Maintain accurate project documentation, including contracts, plans, submittals, schedules, and correspondence. Ensure all documentation is up-to-date and accessible on construction software/platforms. Review of BOM against Construction Documents to ensure accuracy. Ensure all contractually obligated project documentation (photos, meeting minutes, punch lists, etc.) are uploaded by GCs on a timely basis.
  • Vendor Coordination: Support the selection and management of subcontractors and vendors by leading the GC RFP and contracting process, as well as procurement administration tasks (KPI reviews) to ensure quality standards are met.
  • Budget Assistance: Monitor project budgets, change orders, tracking expenses, and reporting discrepancies to construction project managers. Support reporting of purchase orders in coordination with pre-construction team.
  • Problem-Solving: Identify challenges and propose solutions to keep projects on track, raising issues to senior management as vital.
  • Reporting: Prepare regular status reports for project Team Members, highlighting progress, challenges, and next steps. Consolidate team action items and track their completion. Maintain construction project dashboards for accurate and transparent cross-team communication.

What You’ll Need:

  • Supporting the completion of complex capital projects through the development and construction lifecycle (pre-design through post-launch).
  • Excellent leadership, communication, and interpersonal skills, with the ability to collaborate across departments.
  • Knowledge of construction management principles and project management best practices.
  • Analytical thinking with ability to synthesize complex data into actionable reporting.
  • Experience coordinating multiple sites/projects and priorities in a fast-paced environment.
  • Proven success in project management, budget inputs, and construction administration.
  • Strong verbal and written communication skills to optimally communicate across all levels of the organization.

Preferred Skills:

  • Knowledge of construction practices, and facility programs. Experience with Real Estate, Design, and Architecture to enhance Construction practices.
  • Knowledge and experience with Excel, Smartsheet, Asana, architecture/construction software (Bluebeam, Procore, etc) is preferred.
  • 5 + years’ progressive experience with Architecture or Construction degree and background.
  • Strong interpersonal, communication, and project management skills.
  • Self-starter with ability to organize teams around contending priorities.
  • Experience working with cross-functional teams and fostering collaborative thinking to deliver timely results.

Travel Requirement:

  • Approximately 10%-20% travel to Chewy Vet Care and corporate locations.

Hub Locations & Work Arrangement:

  • Hybrid Model: 3 days in hub location per week
  • Remote: This role is NOT a remote role.
