About the London Workplace Assistant position at Showpad
The Workplace team at Showpad pride ourselves on providing first class support to the global Showpad team. As a Workplace Assistant, you’ll be the face of the Workplace team in the London office, ensuring that day to day items in the office are completed to a high standard.
A day in the life of a Workplace Assistant is incredibly broad and varied. This role will include being an ambassador for workplace culture, writing and sending informal communications to the London team, event management for all onsite (plus one or two offsite) events, oversight of the physical, operational, and administrative aspects of an office environment, cross-collaborating with different departments and stakeholders, managing the office budget, supplies, equipment, and maintenance, building relationships with our landlord, security team, vendors and local businesses; and building social connection through the team.
You will spend your time partnering with a variety of employees locally whilst working with a supportive and fun global team. If you love to engage with people while maintaining focus on getting things done, this is the job for you.
Key Responsibilities for an Workplace Assistant at Showpad London
- Register and welcome guests and new or visiting colleagues to the office
- Sumit building requests via a management portal, liaise with the security team and building manager for maintenance, deliveries, or issues.
- Perform office tasks, including but not limited to, ordering and stocking supplies, organizing happy hours and in-office events, being a trusted business partner to our team, and other ad-hoc duties.
- Upkeep and maintenance of conference areas, kitchen, and event space and supervise cleaning and repair of these and other areas.
- Via our team Helpdesk, partner with other Showpadders to organize and execute onsite meetings including arranging catering for staff/client meetings, assisting with event flow and onsite logistics, setting up meeting rooms and breaking them down.
- Maintain refreshment inventory needed for stocked healthy kitchen, client visits and training sessions.
- Arrange catering for weekly employee lunches and special events.
- Act as the onsite point of contact for all in-office requests and the face of the Workplace team, providing world class customer service to our team and customers.
- Enforce office policies and guidelines to maintain or improve the office environment
Required Skills for a Workplace Assistant at Showpad

- Strong communication skills, both written and verbal
- Ability to prioritize and take ownership independently, including shifting priorities as needed on projects and tasks
- Organized, methodical and flexible

Problem-solving is also key, as they must be able to identify the root causes of various issues that may arise in the office and find solutions. Good communication is also necessary, as they need to communicate professionally with different audiences
