Administrative Assistant (Contract)
The Administrative Assistant plays a key role in supporting the day-to-day operations of the Critical Mass office. This fully on-site position is the first point of contact for employees and visitors, requiring someone who is organized, approachable, and proactive. The ideal candidate brings a positive attitude, handles multiple tasks with ease, and enjoys working in a dynamic, fast-paced environment. This role is essential to keeping the office running smoothly and efficiently.Please note: This is a contract position only.
You Will:
- Handle a wide and complex variety of administrative support duties and tasks such as owning schedules, managing calendars, booking travel and running errands (new hire support, Christmas shopping, lunch orders etc.)
- Serve as the first point of contact for visitors and manage reception duties
- Act as liaison with building facilities: submit tickets, manage seating plans, and coordinate logistics
- Coordinate new hire onboarding, including laptops, badges, desk setup, and supplies, etc.
- Oversee incoming deliveries, office shopping, and general office maintenance
- Maintain confidence and protect operations by keeping information confidential

- Manage ordering, inventory of office and desk supplies
- Provide vacation coverage for other administrative staff
You Have:
- 2-3 years of professional experience as an Administrative Assistant or Office Manager
- Superior communication skills, both oral and written and excellent word processing skills
- A stickler for detail and takes ownership of tasks and drives through to completion
- Ability to prioritize and meet tight deadlines
- Must work well under pressure and adaptable
- Customer service focused attitude
- Highly organized, self-motivated, and able to manage multiple priorities in a busy environment
- Willing to learn or familiarity with Outlook, Microsoft Teams, Jira, and internal systems is a plus
