The Administrative Assistant will focus on providing an array of administrative, logistical, and calendar support to members of our People Leadership Team. The right candidate is efficient, professional, creative, motivated and thrives in a fast-paced environment! This role will have the ability to work cross-functionally across the company and the Administrative Assistant must be confident, proactive and have the ability to stay steps ahead of the team. Maintaining confidentiality is a critical aspect of this position.

Job Duties and Responsibilities:

  • Manage and maintain multiple schedules; coordinate travel on an as-needed basis
  • Organize team events, socials, offsite meetings
  • Manage expenses for multiple executives and some PO/invoicing, etc.
  • Coordinate and attend regular team meetings as a contributor
  • Maintain trusting relationships with customers, prospects, team and contacts
  • Coordinate logistics for visitors and represent Okta to external partners and guests

You could be a great fit for this role if you have:

  • Minimum 3+ years of professional experience; ideally supporting two or more Executives 
  • Ability to interact in a professional manner with customers, partners, and internal team
  • Experience with web-based scheduling and collaboration tools including GSuite, Box, TripActions, Coupa, Zoom, and Workday
  • Experience with arrangement of schedules and logistics, across multiple time zones
  • Outstanding time management skills and attention to detail
  • Ability to quickly learn new tools and technologies; interest and experience using technology to improve work efficiency 
  • Expectation of complete confidentiality on all business matters
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Excellent verbal and written communication skills
  • Ability to remain energetic and positive in a fast-paced environment
  • Excellent common sense and ability to make solid judgment calls autonomously
  • Ability to be proactive and anticipate next steps
  • Get along well with a variety of personalities, team player attitude
  • Ability to prioritize multiple tasks
  • Experience planning company events and managing logistics within budget
  • Able to establish and maintain vendor relationships
  • Ability to travel up to 20% in support of offsites and onsite events

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, New York, and Washington is between:$81,000—$121,000 USD The annual base salary range for this position for candidates located in the San Francisco Bay area is between: $90,000—$136,000 USD
