We're seeking an Administrative Business Partner to provide support to our VP of Trust and Safety.  In this role, you'll play a crucial part in keeping the team organized, motivated, and operating efficiently. Your responsibilities will include managing complex, global schedules, nurturing internal and external relationships, and excelling as a detail-oriented communicator. You should have a proactive approach and be capable of independently overseeing diverse tasks and demands, all while handling confidential and sensitive matters with the utmost discretion.

What you’ll do:

  • Be a thought partner to the leaders by offering insights into their teams and actively seeking solutions to challenges.
  • Manage complex calendaring with minimal direction; prioritize and make calendaring decisions based on business need using independent judgment.
  • Support executives with managing team meetings, agendas, draft presentation decks, action items and accountability, and meeting notes.
  • Coordinate executive/senior leader travel coordination, including roadshows and conferences, hotel accommodations and transportation; coordinate travel for the executive/senior leadership’s team and process VISAs and assist with Passport renewals, when needed
  • Book complex travel arrangements and complete expense reports. 
  • Coordinate onboarding plan for executive's new hires and schedule training and meet & greets. 
  • Participate in staff meetings, monitor tasks progress, stay engaged in Slack channels, and act as the primary liaison between the leaders and their teams. 
  • Improving team meeting scheduling, including staff meetings, all-teams gatherings, cross-functional meetings with other leaders in the company, and high-priority meetings while actively monitoring the daily calendar to identify and resolve conflicts.
  • Create, process and reconcile purchase orders and expense reports for the executives/senior leader and work with accounting to address any discrepancies. Own relationships with vendors to manage renewals and invoices.
  • Work closely with Global Events Manager and external vendors to facilitate seamless virtual events (e.g.: all hands, webinars, earnings calls, conferences, etc.)
  • Take charge of the leader's employee morale, recognition and travel budgets and coordinate events. 
  • Ensure all org communications channels are up to date 
  • Work collaboratively with other administrative business partners to ensure business needs are being met in the most efficient way possible.
  • Provide backup support coverage for executives when needed
  • Serve as positive representation of Pinterest on behalf of executive, both internally and externally​​Engage regularly with high-profile external stakeholders, ensuring all interactions are conducted with the utmost professionalism and reflect our company's values and standards.
  • Ability to attend and support on/off site meetings, team morale, all hands, etc. events

 

What we’re looking for:

  • 4+ years of administrative experience, including 2+ years supporting VP and Director level executives.
  • Outstanding organizational skills, acute attention to detail, ability to handle multiple tasks in a fast-paced and time-sensitive environment
  • Proactive and self-directed, capable of taking ownership of tasks, even in ambiguous situations with minimal supervision.
  • Proficient in tools such as Google Suite, Slack, Workday, Expensify, Navan, and MS Office Suite.
  • A team player with the capability to see tasks through from start to finish while collaborating with all potential stakeholders. 
  • Solid track record of handling confidential information with the utmost integrity.

In-Office Requirement Statement:

  • We let the type of work you do guide the collaboration style. That means we're not always working in an office, but we continue to gather for key moments of collaboration and connection.
  • This role will need to be in the office for in-person collaboration up to 3 times per month and therefore needs to be in a commutable distance from our office in San Francisco. The in-office expectation could vary from week to week so flexibility is needed for this position.

Final salary is based on a number of factors including location, travel, relevant prior experience, or particular skills and expertise.
