Position Overview

StepStone is looking for a full-time employee for the Japan Business Development team to support Japan BD team include sales support as well as office management. In this role, the person will oversee daily office operations, manage administrative tasks, support the smooth functioning of our Japan office as well as to commit in strong support of sales activities. We are looking for someone with excellent organizational and communication skills, as well as a commitment to maintaining a positive and efficient workplace.

Essential Job Functions:

  • Provide timely, professional administrative assistance to employees and executives in order to enhance the team’s productivity.
  • Work closely with Accounting team in preparation of Travel & Expense reports.
  • Create, edit and troubleshoot documents using Microsoft Office (Word, Excel and PowerPoint).
  • Support the production and assembly of company presentations and client materials.
  • Setup and coordinate meetings and conference calls.
  • Manage the supply and inventory of office supplies, kitchen supplies.
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Maintain hard copy and support electronic filing system for company and client investment materials.
  • Establish standards and procedures, measuring results and making necessary adjustments.
  • Manage Outlook inboxes, recording and saving down documents.
  • Assist company executives with the scheduling of travel.
  • Act as a backup for general reception activity including answering telephones, scheduling and directing clients and visitors.
  • Using Salesforce proactively to help build lists of prospects, event management and day-to-day updates.
  • Upload and maintain research data within Salesforce.
  • Ensuring accuracy in documentation, financial transactions, and other administrative tasks.
  • Efficiently manages time and deadlines to ensure smooth office operations.
  • Comfort with changing priorities and a dynamic work environment.
  • Other duties as assigned.

Education and/or Work Experience Requirements:

  • Bachelor’s degree or 5years’ experience in an administrative role or related client service experience in financial services, alternative fund or corporate administration or similar field experience required.
  • Excellent verbal and written communication skills.
  • Highly motivated individual with demonstrated initiative, independence and adaptability.
  • Strong ability to multi-task and prioritize workflow in fast-paced, detail oriented environment.
  • Enthusiastic about private markets.
  • Able to communicate with confidence to a wide range of audiences, including senior team members.
  • Willing to learn quickly and enthusiastic about growing StepStone’s client base across asset classes.
