Your role and your Team:
As a Talent Acquisition Admin Coordinator, you will play a crucial role in supporting the talent acquisition team with various administrative tasks and processes. Your primary responsibility will be to ensure the smooth and efficient execution of recruitment activities, facilitating the hiring process, and assisting in creating a positive candidate experience. Your excellent organizational and communication skills will be essential in managing recruitment-related documentation, coordinating interviews, and maintaining a strong candidate pipeline.
Your Day to Day:
• Travel Coordination: Facilitate travel arrangements for out-of-town candidates invited for on-site interviews. This includes booking flights, accommodations, and transportation, while adhering to the company's travel policies and budget guidelines.
• On-Site Interview Coordination: Work closely with hiring managers to schedule on-site interviews, ensuring availability of interviewers and meeting room arrangements. Provide candidates with all necessary information, such as interview schedules, directions, and any pre-interview materials.
• Candidate Liaison: Serve as the main point of contact for candidates during the interview process. Address their inquiries promptly, ensuring a positive and professional candidate experience from the initial contact through the final decision-making stage.
• Interview Calendar Management: Maintain an organized interview calendar to efficiently schedule candidate interviews. Collaborate with hiring teams to avoid conflicts and ensure timely follow-ups after each interview.
• Communication: Keep all stakeholders informed about interview schedules, updates, and any changes that may arise. Communicate interview logistics and instructions to candidates with clarity and accuracy. • Applicant Tracking System (ATS) Maintenance: Utilize the ATS to manage candidate information, interview schedules, and feedback.
• Process Improvement: Continuously identify opportunities to enhance the efficiency and effectiveness of the interview scheduling process. Collaborate with the team to implement best practices and streamline procedures. Your Profile: • Bachelor’s degree in human resources, Business Administration, or a related field.
• Proven experience in talent acquisition or a similar role with experience in interview scheduling and coordination.
• Familiarity with applicant tracking systems (ATS) preferably Greenhouse and recruitment software.
• Excellent organizational and time management skills with the ability to handle multiple tasks simultaneously.
• Strong interpersonal and communication skills to liaise effectively with candidates and internal stakeholders.
• A detail-oriented approach to ensure accuracy in scheduling and logistics.
• Ability to work independently, take initiative, and thrive in a fast-paced environment.
• A commitment to maintaining confidentiality and handling sensitive candidate information.
