Executive Assistant - Field Engineering

The Executive Assistant will provide all levels of administrative support to the senior leadership team within the Field Engineering (FE) function, including short term (c6 month) support of the VP, in a well-organised and timely manner. You will work on a variety of tasks related to supporting the FE org to ensure the Technical GM’s have an optimized schedule.
The impact you will have:
- Ensure the Tech GM’s and VP’s calendar is managed efficiently so their time is optimised, making prioritisation decisions on which meetings to schedule and which to push out
- Ensure all necessary pre-meeting preparations are in place so that meetings are efficiently executed
- Ensure the key stakeholders are fully briefed on upcoming meetings and that all participants are kept informed and aligned with the schedule and expectations
- Organize domestic and international travel arrangements efficiently
- Manage and process expenses and contracts with both internal and external stakeholders
- Undertake any other duties or projects that may be reasonably required, plan and execute upon those projects, and deal with matters arising in a timely and effective manner
- Contribute to the Admin/Ops team by engaging with colleagues to support planning for meetings, off-sites, events, projects, and professional growth
