A bit about the role

We’re looking for a proactive and resourceful Executive Assistant for the Head of Internal Audit (HIA), and support our IA team. We are a newly formed team that is quickly growing, therefore you have the unique opportunity to truly have an impact on Wise’s mission, and the way our team functions.

As we continue our journey of rapid growth, you’ll be the driving force helping our IA team whilst specifically focusing on providing administrative, planning and coordination support to the HIA, Michelle Holmes. You will help us stay focused on executing audit engagements, collating and delivering on reporting materials to the board and audit committees and become deeply involved in IA leadership  processes and the wider business. The role is based in our Shoreditch, London office.  The connections you build and relationships you develop will be the key to the success in this role.

 

Your mission

  • Provide business and administrative support to the HIA including managing a complex diary, travel arrangements and tracking action lists on a daily and weekly basis; attending meetings where necessary and managing personal time;
  • Support the HIA on specific Internal Audit strategic and organisation projects;
  • Actively involved in managing our outsourced and co-sourcing resource;
  • Leading on and coordinating our inhouse and co source resourcing pipeline (i.e. budgeting, onboarding, coordinating trainings, resourcing capacity), ensuring all projects are appropriately staffed and team members are continuously utilised; 
  • Coordinate and pull together information for key meetings and reporting (e.g. board meetings, audit and risk committees);
  • Lead internal communications and cross-team collaboration within the IA team (e.g. organising socials or offsites, keeping internal web-pages up to date);
  • Manage and correctly redirect business requests to the correct team stakeholders; 
  • Support and develop IA leadership forums and strategy days, including managing agendas and actions; and
  • This is a growing team, so there will be other responsibilities and opportunities arising as we evolve…

 

A bit about you:

  • You have mid-senior level experience as a Personal Assistant/Executive Assistant in a big 4, technology, or high growth company, ideally supporting a global team with multiple demands. 
  • Experience or exposure to working within an audit team is preferable but not required. 
  • You act with total discretion and can be trusted with confidential and/or sensitive matters.
  • You’re excellent at building relationships and leveraging these for better outcomes.
  • You’re a self starter and love to work autonomously. You’re able to identify gaps and streamline processes with minimal guidance from others. 
  • You use your initiative and sound judgement to make decisions in a rapidly changing environment with competing priorities. 
  • You’re able to juggle multiple responsibilities with unwavering attention to detail at all times.
  • You’re a creative problem solver. We’re not a ‘one size fits all’ kind of company and we’re not looking for off the shelf solutions. You think on your feet and find solutions to problems that are anything but clear-cut.
  • You have excellent communication skills. You match your communication style to the specifics of the situation, and audience. 
  • You’re proficient in using Google Suite and other collaboration tools, such as Slack. You’re able to conduct basic data analysis using Google spreadsheets.

Salary (annual)£54,000—£67,000 GBP
