We are seeking a highly motivated and experienced Executive Assistant to support our President of Tripadvisor Core.  

The Executive Assistant will provide a high level of administrative and project management support, anticipating and executing on the needs of this Leader, proactively addressing issues with an emphasis on sound judgment, initiative and confidentiality. This position facilitates efficient execution of the President’s  activities and daily information flow by vetting internal and external requests, working closely with other leadership team members, managing internal and external correspondence, ensuring the smooth execution of internal and external meetings, taking the lead in daily briefing preparation, and managing special events. In tandem, you will partner with the Executive to provide internal communications support, coordinating remote and in-person touchpoints for the broader organization and team. This role will be based out of Tripadvisor’s Needham, MA HQ, with an expectation of in-office work up to 3 days per week or as business needs dictate. Occasional additional travel to other locations may be required, based on business need. 

What You’ll Do

  • Provides both routine and non-routine project-based and administrative support to the President of Tripadvisor Core
  • Handle a high volume of competing requests that require professional discernment on appropriate urgency/prioritization to complete. 
  • Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company
  • Prioritize conflicting needs; handle matters expeditiously, proactively, confidentially and follow-through on projects to successful completion, often with deadline pressures 
  • Plan and coordinate external facing meetings, which may include cross functional teams and outside vendors
  • Provide coordination support to staff meetings and town halls including organization and development of presentations
  • Greet and assist external visitors with a strong level of customer service
  • Draft, review, proofread, and format internal and external communication to ensure accuracy, consistency and completeness
  • Attend staff meetings if/as requested; take notes and follow-up on outstanding agenda items
  • Identify issues for escalation and keep in constant communication with others to ensure that the executive is well informed
  • Provide total travel coordination including air and ground transportation, hotel reservations, visas and other travel documentation 
  • Provide expense management including compiling receipts to file expense reports and track reimbursement status
  • Assist in coordination of team all-hands meetings, internal events, off-sites, and all logistical and budget requirements related to the above
  • Partner with Facilities, IT and Security to resolve any logistical issues and assist in every way possible to ensure tasks are completed
  • Available and responsive to the global nature of the business

What You’ll Bring

  • BA / BS degree or equivalent work experience
  • 5+ years of senior level support experience; prior experience providing administrative support to a C-level, public company executive preferred
  • Team player with a strong attention to detail
  • Proven administrative success in a fast-paced corporate environment
  • Strong written and verbal communication skills and ability to interact with internal and external partners
  • Work well under pressure in a rapidly changing environment
  • Demonstrated ability to manage multiple projects simultaneously
  • Fantastic organizational skills and great follow through on tasks
  • A problem solver at heart with a genuine interest in learning by helping, bringing a solutions-oriented approach to administrative challenges 
  • Enthusiasm to work with the larger admin team on process improvement, balancing elements of administrative excellence with our own unique corporate culture
  • Interested in / excited by the idea of handling both complex projects and routine work simultaneously
  • Ability to guide/mentor junior administrative staff
  • Sound judgment regarding confidential information, Ability to exercise sensitivity, discretion, judgment, tact and diplomacy given that information handled may be confidential and complex in nature
  • Superior computer skills (MS Office Suite & Google Suite, required; Workday Expense experience a plus); ability to gather data, compile information, and prepare reports within Excel
  • Research skills to provide background information and context for external meetings, assemble daily briefing materials, and enable streamlined information flow from the business to deliver timely insights
