The Executive Assistant position is an exciting opportunity to join our Shanghai Community Experience Team and work closely with the site leader. We are seeking a highly organized and detail-oriented individual who can provide essential clerical and administrative support. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.

What You’ll Do

  • Calendar management. 
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure that senior executives' priorities are met.
  • Executing daily support tasks and expense management.  
  • Managing low impact events like direct report team outings end to end.
  • Scheduling cross department events.
  • Support Global Supplier Summit.
  • Actively maintains documentation of schedule and travel needs, preferences and cadences in order to track properly and succession plan.
  • Responds to requests in a timely manner
  • Establishes working relationships with cross functional team members (e.g., Community Experience, Employee Tech, broader administrative team). 
  • Maintain professionalism and strict confidentiality with all materials.

What You’ll Need

  • Fluency in both written and spoken English and Chinese
  • Experience with Microsoft Office (Excel, PowerPoint) and Google Suite.
  • Highly responsible and accurate, with attention to detail.
  • Quick learner with an analytical approach to problem-solving as part of a team.
  • Good communication and interpersonal skills.
  • Honest and trustworthy.
  • Strong team player with a willingness to participate and help others
