We are an in-office company, and our expectation is that employees primarily work from their Applied Intuition office 5 days a week. However, we also recognize the importance of flexibility and trust our employees to manage their schedules responsibly. This may include occasional remote work, starting the day with morning meetings from home before heading to the office, or leaving earlier when needed to accommodate family commitments. About the role

In the Workplace Operations Coordinator, Backend role, you will support facility engineering tasks from coordinating maintenance, office setups, and inventory management to ensuring smooth day-to-day operations across our physical workspaces. You will work closely with the frontend team to deliver a seamless employee experience and serve as the primary point of contact for vendors handling janitorial services, handyman work, moving, mechanical, electrical, and plumbing. This role is ideal for someone who thrives on organizing projects, managing vendor relationships, and ensuring effective communication in a fast-paced environment.

We’re looking for someone who speaks up, gets their hands dirty, and takes initiative. You notice when something isn’t right, whether it’s a broken chair, a flickering light, or an inefficient process, and you step in to fix it. You are proactive, detail-oriented, and ready to support wherever needed to keep our spaces safe, functional, and efficient.

At Applied Intuition, you will
  • Vendor & Service Coordination: Schedule and track vendor visits (cleaning, HVAC, pest control, etc.), maintain service logs, coordinate access with technicians, track service level issues and escalate concerns, monitor preventive maintenance calendars
  • Mail, Shipping & Supply Logistics: Oversee package delivery flow and coordinate with shipping carriers, track office and cleaning supply inventory and reorders, monitor food and beverage fulfillment vendors, coordinate e-waste pickups and building/vendor supply drop-offs
  • Moves & Setup: Coordinate furniture changes with techs and vendors, organize move logistics (labels, signage, communication), track ergonomic and special equipment requests
  • Office Supply Management: Own inventory and ensure all office spaces are fully stocked with necessary supplies and equipment
  • Compliance & Facilities Program: Track fire extinguisher and AED logs, support floor warden and safety drill coordination, maintain SOPs and documentation, and assist with audit and compliance prep.
  • Event Support: Execute in-office event setups and breakdown, including customer visits, company-wide meetings, and team events
  • Janitorial & Waste Services: Walk spaces and flag janitorial quality issues, track restroom and kitchen supply restocks, coordinate special cleanings and off-cycle services, liaise with pest control vendors and log findings.
  • Cross-Functional Collaboration: Work closely with Workplace Frontend and IT to ensure smooth, day-to-day operations
  • Access Coordination: Track key and badge access requests, support activations and deactivations, coordinate with security or vendors for rekeying and lockbox updates.
  • Vehicle Team Coordination: Organize workspace needs for our vehicle teams, including working with shop managers to ensure our garages and related facilities are up to standard
  • Process Improvement: Develop and refine standard operating procedures (SOPs) that allow us to scale operations efficiently at HQ and templates we’ll use in global locations
  • Project Ownership: Lead workplace-related projects, handle requests, and manage ticketing to ensure timely resolution and continuous improvement
  • Other Abilities Needed: Ability to lift at least 20+ pounds of materials regularly and to travel at least four weeks out of the year to train other sites
We’re looking for someone who has
  • 3+ years in facility management, with expertise in janitorial services, electrical, plumbing, and mechanical systems.
  • Hands-on Skills: Ability to physically address maintenance tasks, organize spaces, and ensure operational efficiency.
  • Proactive Mindset: Willing to speak up, get hands dirty, and take initiative to fix what’s broken.
  • Large Facility Exposure: Familiarity with managing operations in large or multi-building facilities, supporting complex environments.
  • Reliable Team Player: Takes ownership of coordination tasks, ensures follow-through, and proactively communicates to keep projects on track.
  • Detail-Oriented: Maintains focus on operational accuracy and quality, ensuring smooth execution down to small but important details.
  • Multitasking & Adaptability: Comfortable managing multiple priorities and shifting needs in a fast-paced setting.
  • Vendor Coordination: Experienced in liaising with third-party vendors, tracking performance, and escalating issues as needed.
  • Cross-Department Communication: Works closely with teams like engineering, IT, and workplace experience to facilitate smooth operations and resolve issues.
  • Process Support: Assists in implementing and refining workflows and documentation to improve operational consistency.
  • Budget Awareness: Supports cost-effective solutions by tracking expenses and suggesting efficiencies where possible.

Compensation at Applied Intuition for eligible roles includes base salary, equity, and benefits. Base salary is a single component of the total compensation package, which may also include equity in the form of options and/or restricted stock units, comprehensive health, dental, vision, life and disability insurance coverage, 401k retirement benefits with employer match, learning and wellness stipends, and paid time off. Note that benefits are subject to change and may vary based on jurisdiction of employment.

Applied Intuition pay ranges reflect the minimum and maximum intended target base salary for new hire salaries for the position. The actual base salary offered to a successful candidate will additionally be influenced by a variety of factors including experience, credentials & certifications, educational attainment, skill level requirements, interview performance, and the level and scope of the position.
