Detailed Overview 

The Human Resources Coordinator provides administrative support to the overall HR Team as a member of the Human Resources Department. This position reports to the operations team managers out of the New York, La Jolla and Dublin offices, and will partner with the Payroll team as well. The Analyst will coordinate companywide HR activities including new hire onboarding, paperwork and file maintenance, benefits administration, HRIS maintenance, coordination with payroll process and time and attendance, and special projects as needed. This role as an entry-level position and has opportunity for growth based on performance. 

Essential Job Functions May Include:  

Onboarding 

  • Communicate new hire details internally
  • Assist in pre-hire communication and first day coordination
  • Coordinate onboarding training programs
  • Collect and organize paperwork for all offices globally
  • Assist in onboarding technology implementation and maintenance
  • Maintain new hire announcement communication
  • Assist with mentor assignments and mentor communication

HRIS / Document Management 

  • Ensure complete and accurate data is added to, and managed in, UltiPro HRIS
  • Entering /processing employees/verifying information with recruiting, payroll and UKG systems
  • Initiating form I-9 through HireRight and verifying when docs are received
  • Assist in preparing and collecting exit paperwork
  • Collect company property and return to appropriate team members
  • Organize and audit employee documents and ensure completeness
  • Ensuring all HR forms are up to date forms are in UKG onboarding- handbook, COE

L&D 

  • Basic LMS management and reporting including uploading courses, tracking completion, and registration set up
  • Coordinate and track trainings including attendance, completion, and any administrative support as needed

Benefits Administration 

  • Assist with benefit onboarding and open enrollment
  • Responding to general benefit questions

General Human Resources Administration 

  • Manage distribution and collection of paperwork
  • Schedule team meetings
  • Manage HR, Talent management, recruiting inboxes (routing messages to the appropriate team member)
  • Manage HR Calendar (terminations, leaves, transfers)
  • Coordinate meetings for the HR team, and general calendar management for senior HR team
  • Coordinate travel for entire team when needed

Other Projects as Needed 

  • Assist with tracking metrics
  • Miscellaneous projects

Education and/or Work Experience Requirements: 

  • 2+ years of experience within an HR department, Payroll department or applicable role
  • 2 or more years of experience within an administrative function
  • 4-year degree or equivalent experience

Required Knowledge, Skills, and Abilities 

  • Acute attention to accuracy and detail
  • Effective communication skills and strong problem-solving skills
  • Ability to prioritize activities while working on multiple projects and achieve target deadlines
  • Proficiency with Microsoft Excel, Word, and PowerPoint
  • Familiarity working with an HRIS, or similar database. Experience with UltiPro/UKG a plus!
  • Ability to learn and adapt to new technology systems
