The HR Operations Lead will drive operational excellence within the HR function, leading a team of 5 Operations Generalists and Specialists to structure, create, and implement HR policies, processes, and systems that support business growth. This role is pivotal in optimising HR operations, ensuring compliance, and fostering continuous improvement in line with business objectives. The ideal candidate will lead efforts to streamline workflows, improve HR systems, and ensure that HR operations run smoothly, efficiently, and in compliance with local regulations.

Key Responsibilities

  • Policy Development and Implementation
    • Lead the creation, structuring, and implementation of HR policies that align with both local statutory requirements and company culture.
    • Review and update policies annually to ensure compliance with labour laws across different regions, as well as best practice benchmarks.
    • Ensure effective communication and training for the implementation of policies across the organisation.
  • Process Design and Continuous Improvement
    • Develop, refine, and manage HR processes to improve operational efficiency, including recruitment, onboarding, payroll, benefits administration, and employee lifecycle management.
    • Identify areas for process improvements through data analysis, feedback, and collaboration with cross-functional teams.
    • Implement continuous improvement initiatives to enhance HR services, minimise operational risks, and promote scalable HR solutions.
  • Team Leadership and Development
    • Manage and mentor a team of 4 HR professionals, fostering their development and ensuring alignment with department goals.
    • Ensure the team delivers high-quality, consistent HR support to employees and managers, maintaining high levels of service delivery.
    • Encourage a collaborative team environment, focusing on skill-building and performance optimization.
  • HR Systems and Data Management
    • Lead the selection, implementation, and management of HR systems (e.g., HRIS) to ensure that HR data is accurate, secure, and supports business needs.
    • Oversee data integrity and reporting, utilising HR analytics to provide insights for decision-making and process improvements.
    • Ensure compliance with GDPR and other data protection regulations.
  • HR Operations Support
    • Oversee the day-to-day HR operations, including employee inquiries, payroll coordination, benefits administration, and record-keeping.
    • Act as a point of escalation for complex operational issues and collaborate with key stakeholders to resolve them efficiently.
    • Partner with finance, legal, and other internal departments to ensure smooth collaboration on cross-functional HR-related activities (e.g., budget planning, compliance audits).
  • Compliance and Risk Management
    • Ensure that HR operations are compliant with local labour laws, employment standards, and company policies across different regions
    • Work with local Worker’s Councils as appropriate to manage and implement changes
    • Manage risk by developing and implementing robust control mechanisms and staying updated on changes in labour regulations.
    • Conduct regular audits to maintain HR operational compliance and mitigate any potential risks, as well as supporting the ISO and SOX processes as required

  • Operational Expertise
    • Deep understanding of HR operations and the ability to design and implement effective policies and processes.
    • Experience in optimising workflows and HR systems to enhance performance and scalability.
    • Experience working with organisations in an international context, especially Germany, France and the UK as well as organisations with high contractor and EOR workforces.
  • Leadership and Team Management
    • Proven ability to lead, mentor, and develop HR teams, ensuring high performance and continuous improvement.
    • Strong interpersonal skills and the ability to work collaboratively across functions and regions.
  • Project Management
    • Strong project management skills to drive the implementation of new HR processes, systems, and initiatives.
    • Ability to manage multiple projects simultaneously, ensuring timely delivery and alignment with strategic goals.
  • Analytical and Data-Driven
    • Competence in using HR data and analytics to drive decisions, identify areas for improvement, and measure HR performance.
    • Strong attention to detail and the ability to analyse complex data sets to make informed recommendations.
  • Compliance and Risk Awareness
    • Deep knowledge of labour laws, employment standards, and compliance requirements in multiple regions.
    • Ability to proactively identify and mitigate risks associated with HR operations, ensuring full compliance at all times.

    Qualifications

    • Experience:5+ years of experience in a senior HR operations or a related role, and an additional 2 years in a leadership capacity. Experience working in a multinational environment is a must, with a special focus on HR operations in Germany and France.
    • Education:Bachelor's degree in Human Resources, Business Administration, or a related field.
    • Systems Expertise:Hands-on experience with HRIS and HR technologies. Strong experience with system implementation and optimisation is required.
    • Languages:Fluency in English is required, as is at least one other European language (French, German or Russian preferred); proficiency in additional European languages is highly desirable.
