We’re looking for an Office & Facilities Lead to take charge of our Malta offices and make them run like clockwork. You’ll lead a passionate team, manage external partners and roll up your sleeves to create a workplace that’s efficient, welcoming, and built for success.

The Wow

You will be responsible for the maintenance and continuous improvement of our offices in Malta. Leading a dedicated team of Office & Facilities Coordinators and reception staff, you will coordinate efforts, set priorities, and take a hands-on approach to execution. You will also take the lead in managing outsourced maintenance teams to ensure high-quality service and operational efficiency.

 

A taster of what you will be involved with: 
  • Lead the team of Facilities & Office coordinators and reception support.
  • Manage the team coverage in our two offices in Malta.
  • Office Operations & Administration.
  • Manage contracts and relationships with service providers, along with team members (cleaning, catering, maintenance).
  • Maintain oversight of all office facilities, equipment, and infrastructure.
  • Lead preventative maintenance, repairs, and upgrades to ensure safe and efficient operations.
  • Ensure compliance with health, safety, and environmental standards.
  • Negotiate and manage vendor contracts to ensure quality service and cost efficiency.
  • Monitor budgets, invoices, and expenses related to office operations and facilities.
  • Track and report on facility performance metrics and cost savings initiatives.
  • Partner with HR and leadership to foster a welcoming and collaborative work environment.
  • Support planning and execution of office events, meetings, and employee engagement activities.

 

What we are looking for
  • Bachelor’s degree in Business Administration, Facilities Management, or related field (or equivalent experience).
  • Minimum of 4 years experience in office management/facilities or workplace operations. 
  • Minimum of 2 years experience managing flagship or high-profile corporate properties. 
  • Strong knowledge of workplace safety, compliance regulations and building operations. 
  • Strong leadership and problem-solving skills. 
  • High attention to detail and ability to prioritise effectively. 
  • Collaborative mindset with a service-oriented approach.
  • Ability to anticipate needs and proactively address issues.
  • Strong financial acumen and budget management capability.
