Office Administrator

We are looking for an Office Administrator to join our People & Facilities team, based in our New York, NY office but with responsibilities spanning all 1stDibs locations. In this pivotal role, you will have the unique opportunity to shape the in-person experience of our diverse and unique 1stDibbers. You will build upon the fun, warm, supportive culture we’ve established and find innovative ways to extend that culture across all locations. This position is ideal for someone eager to utilize their organizational and interpersonal skills.
This is an in-office role located in New York, NY (5 Days a week)
What you’ll do
- You will ensure our NYC and Wyboston, UK office spaces are safe, productive, efficient, and fun
- You will implement tech solutions to help us manage a hybrid work environment
- You will assist in identifying and opening offices in other locations as required
- You will manage all vendor relationships, including cleaning and maintenance, plant watering, supply ordering, in-office snack and beverage orders, and catering
- You will manage and maintain office budgets in collaboration with manager & finance team
- You will coordinate recruitment activities by scheduling and coordinating interviews, assessments, and other recruitment-related activities, ensuring a seamless process for all parties involved
- You will develop, plan, and execute an office perks and employee engagement program
- You will keep the office functioning at the highest level by managing office setup/floor plan, desk allocation, and conference room maintenance, and regularly auditing and adjusting based on the needs of the business
- You will build relationships with our employees to understand and respond to the needs of the team
- You will serve as the reception point of contact, welcoming employees, visitors, and guests Distribute mail, packages, and incoming phone calls
- You will partner closely with the IT team, EA team, and logistics team to ensure business needs are met
- You have 4+ years of experience in office management, HR administration, or as an executive assistant
- You have proven to stay on top of multiple, perpetually-evolving projects and are detail-oriented
- You have a no “task is too small” attitude and impeccable attention to detail
- You have experience managing vendor relationships, budgeting, and ordering supplies
