About the RoleWe are looking for a proactive and service-oriented Office Administrator to become the "heart" of our German office in Ottobrunn. Your mission is to ensure the office runs like clockwork and that our team and guests feel comfortable from the moment they arrive.
This role is perfect for someone who takes pride in the details and believes that a welcoming, well-organized environment is the foundation of a strong company culture.
Key Responsibilities1. Office Operations & "Vibe" Management

Maintain Order: Ensure common areas, meeting rooms, and the kitchen are always organized and inviting.

Facilities Liaison: Act as the primary contact for the landlord, building management, and cleaning services.

Procurement: Manage office supplies, groceries, and consumables—ensuring everything the team needs is always on hand.
2. Hospitality & Employee Experience

Guest Relations: Greet guests, candidates, and partners with a warm and professional demeanor.

Event Planning: Organize internal events, team-building activities, and office celebrations.

Onboarding Support: Assist new hires by setting up their workspaces, providing office tours, and managing the distribution of company SIM cards.
3. Administrative & Logistics Support

Mail & Deliveries: Handle all incoming and outgoing correspondence, courier services, and packages.

Travel Coordination: Assist with travel bookings or local transport arrangements when necessary.

Vendor Management: Coordinate with external providers (IT support, catering, maintenance) to resolve any office issues quickly.
4. Safety & Compliance

Health & Safety: Monitor compliance with workplace safety standards (First Aid kits, fire safety protocols).

Administrative Aid: Handle primary documentation and invoicing related to office operations in coordination with the Finance department.

Presence: You enjoy being the "go-to" person in the office and are reliable in managing daily operational tasks.

Hospitality Mindset: You likely have a background in hospitality (Horeca), high-end service, or client relations. You know how to make people feel welcome.

Proactive Organization: You have a sharp eye for detail—you notice a burnt-out lightbulb or a low coffee supply before anyone else does.

Communication: You are open, friendly, and professional. Fluency in both German and English is mandatory.

Tech-Savvy: You are comfortable using modern collaboration tools (Slack, Google Workspace, etc.).
