Office Manager (part-time or full-time) - Leuven
Guardsquare is looking for an Office Manager to join our Leuven office.
In this role you would primarily be responsible for managing our fleet and travel department, and backing up our reception. Furthermore, you’ll help handle office management tasks as well as a variety of other administrative tasks.
The ideal candidate has previous allround administrative experience and excellent spoken and written skills in Dutch and English. A first experience with fleet and/or travel management is a plus.
Responsibilities
- Manage company fleet needs: be the first point of contact for vendors & leasing companies, take care of vendor & leasing administration, manage orders & delivery of cars, order charging cards and charging stations, control damage claims, employee support, etc. … ;
- Making travel arrangements: collaborate with the company’s travel agencies, manage all individual or group business trips, make hotel and flight reservations, etc. … ;
- Collaborate closely with the finance department, making sure all fleet and travel related expenses are handled and invoices booked;
- Reception: welcome visitors and direct them to the right person/department, arrange parking for visitors, handle postal mail, etc. …;
- Office management: keep office equipment in check, order office supplies, prepare training/meeting rooms, etc. … ;
- Support the company’s back office in all sorts of administrative tasks: e.g. documentation and organizing files, database management, scheduling appointments, planning events, preparing presentations, etc. … .
Profile
- You have a Bachelor Degree or have gained equivalent experience.
- You have at least 1 relevant previous experience in a similar role as an administrative officer/assistant.
- A first experience with fleet and travel management is a plus.
- You have a good general understanding of business systems such as Google Cloud, MS Office, ERP’s/CRM’s, … .
- You have excellent communication skills and outstanding spoken and written skills in Dutch and English.
- You are very organizational and know how to manage priorities and respect deadlines.
- You are flexible and open to carrying out more polyvalent tasks, depending on business needs.
- Given the nature of your responsibilities, you are in the office every day of your work week.
