We are seeking a proactive and versatile Office Manager to join our team and take ownership of various office support functions. This role involves setting up and maintaining office functionalities, providing support for facilities, events, and projects, and ensuring a pleasant work environment for our team.
Your main responsibilities will be to :
- Office Management: Managing the entire life of the office
- Organize office layout and order stationery, equipment, and supplies.
- Welcome visitors and be the first point of office contact
- Manage the meeting rooms (reservation, availability)
- Manage all issues that the building can have
- Assiste the Managing Director and Sales Director (meeting, expense account, travel…);
- Ability to lead internal projects:
- Deployment of Workplace Management software
- Management of an office removal : Planning and coordination, needs assessment, budget management, logistics, risk management, monitoring and evaluation, communication & employee feedback.
- Admin and financial:
- Budget tracking of expenses related to the office activity
- Be the back office for our expense tool and help the executive team
- Prepare office reports for the Managing Director
- Event:
- Proposing and organizing events and activities to improve employee commitment, such as team lunches, team building, afterwork events, etc.
- Coordinate business travel arrangements and internal meetings;
- Assist the marketing team for client events (organization, logistics…);
- HR:
- Assist in the onboarding process for new welcomers (including scheduling medical appointments and handling administrative tasks related to health insurance and benefits).
Experience/background :
- A first successful experience in office management role;
- Strong multitasking abilities to manage various demands of the role effectively;
- Advanced Microsoft office skills and office life application (Slack, Bamboo, …).
- Confidence, motivation, and strong organizational skills;
- Excellent interpersonal skills to interact with diverse stakeholders;
- Flexibility to adapt to changing priorities and cover additional tasks as needed;
- Experience of dealing with personal and confidential data relating to employees
- Strong problem-solving abilities;
- Positive attitude and a proactive approach to work;
- Excellent writing skills
- Excellent spoken and written English
