Overview:

Prosek is looking for an Office Manager for a one-year maternity cover. The Office Manager is responsible for the effective running of the London office. This "catch all" position encompasses office management and general operations and assisting the human resources team in the US where the company is headquartered.

What you'll be doing:

Operations:

  • Work with the London management team to ensure processes and systems are effectively managed
  • Be present in the office to help with greeting visitors, providing refreshments and any IT assistance the team may need
  • Office liaison with IT department in NY, ensuring every member of the team has the necessary equipment and technology for job responsibilities
  • Ensure office has necessary equipment and supplies to operate efficiently; manage ongoing office supplies order
  • Manage and maintain relationships with building management and third-party vendors (i.e. - cleaners, printer support, etc.)
  • Manage kitchen pantry items and ensure cleaners service London office as appropriate
  • Provide assistance for in-person meetings, including printing of pitch decks, management of IT for conference rooms, ordering of refreshments and being on hand for any last-minute needs, etc.
  • Water the office plants and manage the office balconies for any firm-wide events
  • Assist with Prosek convening events, client networking, sourcing of venues and any associated event management
  • Provide ad-hoc support to the management team
  • Ensure there is a healthy and dynamic work environment for the well-being and productivity of employees

Human Resources & Recruiting:

  • Support with the recruiting function for the London office including liaising with our recruiting team in the US and scheduling interviews as needed. 
  • Assist with updating our talent pipeline of communications professionals at all levels
  • Lead onboarding efforts in the London office, including liaising with the US-based HR and IT teams to ensure a seamless process for all new joiners
  • Liaise with US team to ensure global coordination of firm-wide professional development efforts to coordinate London team participation

What makes you qualified:

  • 2+ years of experience working in either Operations, Human Resources and/or Talent Acquisition
  • Ability to maintain confidentiality at all times
  • Ability to communicate clearly and concisely, verbally and in writing
  • Attention to detail and excellent organisational skills
  • Ability to multi-task several responsibilities seamlessly
  • Ideally be a certified Fire Marshall and First Aider
