Office Supervisor
You will…
- Manage the onsite Facilities Associate, who will be reporting directly to this role.
- Reconcile financials at the end of every month
- Own Employee Engagement at the office, including creating monthly engagement calendars, and planning and executing in-office events.
- Own the badging program for the Newark Office, including troubleshooting, tracking requests, and creating new badges
- Run our ticketing system for the Newark Office
- Be the primary onsite resource for the employees at our Newark office location.
- Work with building personnel to receive deliveries & support pick-up
- Run morning setup including resetting office furniture, stocking supplies, and conducting space walk-throughs
- Run in-office event set-up and breakdown including lunch catering, happy hours, onsite meetings, and group events
- Keep inventory of supplies and order new materials as needed
- Own projects aimed at improved organization of supplies and inventory
- Escalate office-related issues in a timely and professional manner
- Support ad hoc projects aimed at improving office aesthetics and the in-office employee experience
- Spanish/English Bilingual preferred.
- A self-starter, able to work independently and driven by an enthusiasm for learning and proactively improving existing processes
- Able to perform the essential functions of the position with or without reasonable accommodation, including:
- Regularly lifting and moving up to 25 pounds, and occasionally lifting and moving up to 60 pounds with or without assistance.
- Stand and walk for prolonged periods.
- Aesthetics are important, so this person should have a great eye for detail and organization, with very high standards for a neat and organized office.
- Comfortable with getting your hands dirty (literally and figuratively!)
- A customer-focused mindset - in this role every onsite employee is your customer
- An ability to communicate clearly and effectively in both verbal and written form
- This role is not work from home eligible.
- Two years of office or administrative experience is preferred.
- Experience with Excel and/or Google Sheets is required; Adobe Acrobat and Zendesk is preferred
- Must be at least 18 years old.
- Hold a high degree of professionalism
- Demonstrate a high level of confidentiality and discretion working with confidential materials
- In cooperation with the supervisor, the employee must follow all safety policies/procedures and adhere to PPE/hygiene policies.
