Okta is hiring an Operations Specialist to join the dynamic Strategic Programs and Communications team to provide operational and communication support to the Customer Identity Product Unit. You will be responsible for driving, coordinating, and executing on a variety of administrative tasks and projects to enable the operational success of our programs, ceremonies, and communications. You have a track record of providing proactive operational support, planning and coordinating logistics, juggling multiple priorities with competing timelines, and taking effective and swift action. The ideal candidate is an organized, detail-oriented self-starter who thrives in a fast-paced, remote environment.

What you’ll be doing

  • Support day-to-day coordination of programs, ceremonies, and communications through calendaring, procurement, budget management, logistics coordination, stakeholder management, and resource creation and management 
  • Administer the Product Unit’s onboarding programming through new hire tracking, program coordination, calendaring, data entry, feedback analysis, and reporting 
  • Coordinate and execute virtual and in-person meetings and events including All Hands, routine and ad hoc meetings, offsites, and social events
  • Draft and manage communications, help desks, FAQs, and other knowledge bases; answer questions and provide proactive updates to our global team members
  • Coordinate the rhythm of the business, including agenda management, notes, content and slide deck creation, logistics, and action item follow-ups.
  • Provide design support for slide decks, internal knowledge bases, and video assets
  • Maintain our internal knowledge base(s) to ensure information is relevant and up-to-date while providing a seamless employee experience. 
  • Analyze and execute on feedback mechanisms (surveys, polls, interviews, etc.) to ensure programs are iterated upon based on data and insights
  • Source content for blogs and other communications 
  • Identify and execute operational improvements to increase efficiency and responsiveness across the organization through process improvement, project planning, and stakeholder management
  • Build efficiency and responsiveness into existing operations
  • Organize, prioritize, and coordinate multiple work activities with a demonstrated ability to meet deadlines and communicate status
  • Collaborate and build strong relationships with internal partners and stakeholders

What you’ll bring to the role 

  • Excellent verbal and written communication skills
  • Advanced slide design skills. Able to design visually appealing slides that convey information to an audience in a clear and engaging manner. Google Slides preferred 
  • Organized and detail-oriented self-starter with a natural curiosity to learn new skills
  • Proficiency in Google Sheets 
  • Track record of making meaningful progress and communicating status to stakeholders 
  • Results-driven with the ability to multitask and handle pressure in a fast-paced environment
  • Exceptional organization with a focus on execution
  • Comfortable with ambiguity, change and able to navigate a fast-paced, remote environment
  • Ability to travel up to 15% of the time

And extra credit if you have experience in any of the following:

  • Video editing experience 
  • Familiarity with Confluence or similar internal wiki
  • Previous experience with internal communications, event planning, or learning & development, or other complementary fields

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, New York, and Washington is between:$86,000—$130,000 USD The annual base salary range for this position for candidates located in the San Francisco Bay area is between: $97,000—$145,000 USD
