This position is responsible for reviewing incoming consulting services contracts and processing them as orders in our accounting system, NetSuite.   This person will read the contracts and review all terms and conditions to ensure proper sales order entry and set up for both billing and revenue recognition purposes.   This position is also responsible for sending invoices on contracts that they have processed.  Finally, the position will assist with various month-end reporting responsibilities, as needed.

In this job, you will be responsible for:

  • Processing incoming sales orders and ensure that they are recorded in NetSuite and OpenAir in an accurate and timely manner.  Related tasks include reading and interpreting customer contracts, reviewing data entered in Price Quote App for accuracy, entering orders in NetSuite and OpenAir, and updating spreadsheets used for reconciling revenue and tracking project completion.

  • Sending out invoices for consulting services each month.  Reach out to new customers to confirm that the billing information we have on file is correct and obtain purchase orders from them. Assist the Billing and Collections team with invoice follow up, as time allows.

  • Assisting with the updates and maintenance of the percentage-of-completion file indicating how much of a fixed price project is complete at each month-end, and enter the percent complete on each project in the accounting system.

  • Assisting manager and team with timesheet follow up to prepare for billing and revenue recognition deadlines.

Requirements:

  • A Bachelor’s degree in Accounting or Finance is preferred

  • 1+ years of related experience in general accounting, finance or contract administration experience is required.  We are looking for someone who has had to work in a position requiring strong attention to detail and adherence to strict deadlines, as well as experience in Microsoft Office tools (Excel and Word).  Strong communication and analytical skills must be demonstrated as well.

  • Experience with ERP financial systems (such as NetSuite, SAP or Workday) is a plus.
