HelloFresh is in search of a full-time Production Coordinator to join our studio team in Brooklyn, NY. Reporting to the Managing Producer, the candidate will work closely with our Creative Operations team to oversee the execution of exceptional video content. 

The candidate will collaborate with photography, videography, kitchen, styling, studio operations, project management, creative studio, and cross-functional stakeholders to drive execution of the video shoot and post production lifecycle. They will be responsible for managing and maintaining multiple, simultaneous video shoots—many of which can be complex in nature—ensuring adherence to production best practices.

You will… 
  • Manage all aspects of studio production from brief hand off to final asset delivery including scheduling pre-pros, creating shot lists and edit trackers, studio confirmations (crew support, props, ingredients), and trafficking videos to and from HelloFresh’s post production partners 
  • Support with vendor relations and invoicing for Post Production; ensuring all vendor invoices are submitted and cross checked, and following through with Accounting as needed to ensure payment
  • Track end-to-end video shoot deliverables and communicate between teams to ensure seamless process and final file delivery 
  • Build post-production schedules ensuring shoot dates align with file handoff deadlines leaving requisite time for QC and file delivery 
  • Communicate timelines, status updates and potential risks to the Studio Operations and Project Management teams 
  • Build and deliver shot lists and edit trackers for each of the projects ensuring every asset is accounted for and returns from the post-production vendors as briefed 
  • Maintain and update post production workflow records with deadlines, markups and file locations for multiple third party vendors

You have… 
  • Bachelor's degree or equivalent required. 
  • 2-3 years of advertising agency, production company, or production experience; specifically, in a  high volume, video studio or agency production operations 
  • Experience in planning and executing video shoots from start to finish, including ability to handle  heavy schedule coordination a plus 
  • Knowledge of industry rates and booking procedures of freelance talent; knowledge of  commercial studio workflow a plus 
  • Tenacity in follow-through, owning and guiding video shoots from infancy to execution
  • Experience working in a project management system (eg. Wrike, Jira, etc) 
  • Proficiency in Google Suit (mainly Google Sheets).  
  • Excellent interpersonal, verbal and written communication skills
