ABOUT THE ROLE
As a Project Manager at Purpose, you will be responsible for project operations at Purpose Indonesia, with the overall objective of successful delivery of our work, while keeping Purpose accountable and disciplined internally.
In this role, you will be responsible for overseeing the entire project management process, including leading the team to implement efficient procedures and problem solving. A significant part of your responsibilities will involve managing both external and internal stakeholders, and coordinating with them to achieve project goals.
This position requires a keen eye for detail, strong organisational skills, and the ability to make quick decisions to keep projects on schedule and within budget. This role offers a valuable opportunity to gain hands-on project management experience while contributing to diverse projects that have a meaningful impact across our organisation. In a specific project context, this role works closely with Project Lead(s) and Project Principal(s). This is a Full Time position, offered as a Fixed Term role for a duration of 6 months. Upon satisfactory performance and business needs, there is a possibility of extending the contract for a longer term. This role is offered at the Associate Manager tier with a salary band of IDR Rp 337,000,000 - Rp 490,000,000. You will report to the Senior Program Manager.
We are a fully remote team, but it is a plus if you are based in Jakarta, as many of our partners and vendors operate there and many of our activities take place in the city. The team usually meets quarterly and this role will also require travel.
RESPONSIBILITIES
As a Project Manager, you will lead end-to-end management of multiple and diverse projects. Your core responsibilities will be to:
Project Management
- Serve as the primary point of contact for overall project planning, coordination and specific tactical operations within the projects involving donor/client relations, and vendors/freelancers.
- Create and operationalise project management tools such as work plans, budgets, facilitate IML (Impact measurement and Learning) set-up for projects; hold delivery teams (i.e. strategy, campaigns, creative, freelancers, vendors) accountable to project plans, timeline, key deliverables and milestones.
- Work closely with the Project Lead(s) to ensure the project work plan is aligned with the objectives and scope of work submitted to clients/funders, and raise to PL and PP when potential deviations may occur.
- Regularly track project budgets and staffing plans for consistency, relevance and accuracy using internal project management tools. Setting up an internal and external project communications mechanism. This includes project check-in meetings at different stages of a project life cycle (kick-off, mid-point reflections, project close/wrap up, regular weekly/monthly coordination), regular update calls for internal team alignment and with the funder/client and tracking project progress, facilitating problem identification and solving and strategic conversations.
- Facilitate critical inter-stakeholder project communication and relationship building through identification of stakeholders and attendees for crucial recurring and ad-hoc discussions; capture meeting notes and escalate communications (as needed)
- Deliver project status updates to internal teams and clients jointly with the Project Lead(s).
- Guide the team about Purpose internal process and methodology, such as Purpose Project Flow.
- Forecast potential risks affecting the project goals and deliverables and plan for mitigants accordingly while keeping the project leadership in loop about the same
- Ensure all project related documentation is maintained by the team and organised up to date
Budget & Contracts Management
- Keep our budget trackers updated with support of a Junior operations and finance associate from data obtained from our project financial management tool, contracts and accounting reports
- Proactively communicate to Project Lead (PL) & Project Principal (PP) the status of the budget, advising on what is feasible, flagging potential issues and seeking opportunities for optimising scope and budget health
- Draft scope of works for vendors/contractors agreements in collaboration with Project Leads
- Oversee and guide the work of a Junior operations and finance associate to ensure we obtain all the necessary documentation from vendors, our contracts are executed on time, and payments are processed in a timely manner
- Serve as approver of vendor/contractor invoices and as point of contact for our finance team to confirm the accuracy and schedule of invoices (client, freelancers, and vendors)
- Prepare in collaboration with the finance team budget reports to funders
Business development
- Manage the process of developing a proposal by setting up BD workspaces (G.drive, notion, slack), creating proposal work plans, ensuring clear roles & responsibilities for the proposal development and keeping the team accountable to complete each step in the process.
- Collaborate with the team to build project scopes, work plans and timelines
- Support compiling business documents needed for the submission
- Build project budgets using Purpose estimator tools, and collaborate with finance to create specific budget templates to submit to funders.
Internal Operations
- Manage and schedule weekly team meetings and inform the team about each week priorities, people on leave etc.
- Review, approve and update leave requests in our HR platforms.
- Working closely with Staffing Manager to identify and act on staffing analysis and trends
- Contribute to the continuous improvement of project management processes and methodologies. Provide feedback on tools and techniques to enhance project efficiency and effectiveness.
ABOUT YOUWe think you will be a successful candidate if you demonstrate
- 5+ years of work experience in a fast-paced, agency environment (i.e. professional services, creative agencies, consulting) or advocacy environment
- Proficiency in English and Bahasa/other local language(s)
- Demonstrated ability to deliver against project plans on time and on budget.
- Ability to be pragmatic and solutions-oriented under stress
- Impeccable communication skills (written/verbal) and interpersonal skills (listening/empathy)
- Excellent track record of time management, systems organisation, and follow-up
- Agility and flexibility towards evolving responsibilities and last minute project changes
- A confident facilitator to coordinate discussions between multiple internal stakeholders (such as an interdisciplinary team of different specialists across different geographies)
- Collaborative and inclusive about working with global teams that are from diverse backgrounds, as well as the ability to take initiative and work with minimal supervision
- Critical thinker, have high integrity, a team player with hands-on attitude, and a passionate problem-solving spirit
- Proficiency in using spreadsheets and word-processing programs (primarily in Google Suites)
- Preferably strong communication skills (written and verbal) in Indonesian, English, and (bonus) one of the local Indonesian languages.
