Your main duties will be to ensure the smooth running of the office floors, including assistance to the Senior Receptionist, Co-Admin Managers and Executive Assistants.  You must have an ability to multitask, and you must also be able to work effectively as part of a team.

This is a full-time role and the working hours are 9am to 5pm (in the office). However, you will be expected to come in early or leave late if there are client meetings taking place outside of business hours.

Key responsibilities

  • Working together with the Senior Receptionist, Co-Admin Managers and Executive Assistants to provide seamless office support for the bankers
  • Taking responsibility for the smooth running of all Lincoln occupied floors e.g:
    • constant floor walks and checks to make sure supplies are always topped up (including paper in the printers);
    • making sure IT in the meeting rooms are fully functional (including screens and Zoom facility);
    • tidying common areas; kitchen, meeting rooms and stationery cupboards
    • checking printers for errors.
  • Assist the Senior Receptionist with meeting and greeting clients and meeting room set up / meeting room clearing
  • Cover the front of house reception when the Senior Receptionist is on lunch / annual leave
  • Source lunches from local food outlets / restaurants at short notice
  • Making sure meeting rooms on all floors are client-ready
  • Make sure the kitchen stays well stocked with groceries
  • Stock check of printer supplies and stationery rooms
  • Post office runs for any outgoing post and parcels
  • Support EAs and Bankers with ad hoc requests, such as scanning, printing and binding
  • Promptly alerting the Senior Receptionist and/or IT if we have faults with office equipment
  • Assist Co-Admin Managers and EAs with ad-hoc tasks including but not limited to:
    • Processing expenses
    • Enter Salesforce contacts and meeting notes

Key CompetenciesPrevious experience in a corporate office environment is preferred.  Financial sector experience is advantageous. 

Technical:

  • Microsoft Office (Outlook / Word / Excel / PowerPoint)
  • Experience with expense management tool
  • Experience with Client Relationship Management systems (CRM)

Communication:

  • Has good inter-personal skills and an ability to build mutually respectful relationships with colleagues
  • Written and spoken communications are clear, accurate, concise and appropriate for the audience and the task at hand

Results focussed:

  • Takes pride in work and is consistently focussed on completing allocated tasks and meeting goals to an agreed quality and technical standard

  • As the demands on the role may be on occasion ad-hoc, not suitable for ‘clock watchers’
