As a Senior Accounts Payable Specialist at Toast, you’ll play a critical role in our procure-to-pay process by ensuring that vendor invoices are processed accurately and on time, while maintaining strong internal controls. We’re looking for someone detail-oriented, organised, and proactive—someone who’s as comfortable with spreadsheets and ERP systems as they are with building relationships across teams. The Senior AP Specialist reports to the Accounts Payable Manager (India). This exciting role requires problem-solving and the ability to process invoices accurately. It will involve significant interaction with vendors and internal business partners.

Work Mode: Hybrid (2 days in a week at office)

Work Location: Chennai

Shift Timings: Regular 2 PM to 11 PM; Night shift during month-end close (5.30 PM to 2:30 AM) - Cab will be provided

About this roll* (Responsibilities)

Accounts Payable Operations

  • Invoice Processing: Accurately review, code, and route vendor invoices through the company’s AP software, ensuring compliance with established policies and maintaining strict adherence to SLAs for timely processing.
  • PO Matching & Compliance: Execute two- and three-way matching protocols, validating invoices against purchase orders and receipts to guarantee accuracy, prevent discrepancies, and uphold internal controls.
  • Inbox & Vendor Communication: Proactively monitor the AP inbox, triage inquiries, and resolve vendor issues while ensuring all invoices are promptly captured and processed within AP systems.
  • Ensure compliance with Indian statutory and tax requirements, including GST, TDS, and withholding taxes. 
  • Reconciliation & Statement Review: Regularly review vendor statements to identify and resolve missing or outstanding invoices, ensuring completeness and accuracy of AP records.
  • Operational Support: Perform a wide range of AP-related tasks to support seamless day-to-day operations, maintaining efficiency and control throughout the Procure-to-Pay (P2P) cycle.

Internal Control Compliance

  • Audit Support: Assist with internal and external audits by providing required documentation and explanations
  • Process Improvements: Identify opportunities for process improvements, automation, and standardization within AP operations
  • Cross-Functional Collaboration: Partner closely with procurement, treasury, and accounting teams across India and the U.S. to ensure smooth, end-to-end P2P operations and consistent stakeholder alignment.

Month End Activities 

  • Assist with AP accruals, journal entries, accruals, and adjustments for monthly, quarterly, year-end close
  • Complete bank and credit card reconciliations on a timely basis
  • Complete ad hoc financial analysis and special projects as requested by leadership

Do you have the right ingredients*? (Requirements)

  • Bachelor’s degree in Accounting, Finance, or related field
  • 7+ years of experience in Accounts Payable in a multinational (e.g. US) environment is a necessary requirement
  • Strong knowledge of invoice processing, vendor management, and payment cycles
  • Strong customer orientation, passion for helping customers solve their problems
  • Proficiency in ERP systems (Oracle, NetSuite, SAP, or similar) and Google/MS Excel. Exposure to procurement systems (e.g., Zip, Coupa, Ariba) and automated invoice processing tools
  • Excellent attention to detail, organizational skills, and time management
  • Ability to work in a team and collaborate with other team members to solve customer problems
  • Good adaptability and proven ability with new technologies
  • Strong written and verbal English is mandatory
