Senior Executive Assistant, Office of the CEO

The ChallengeOneTrust is looking for a Senior Executive Assistant to our CEO. You will play a pivotal and highly visible role in managing the executive's schedule, facilitating communication, and enabling our company’s success. Your ability to thrive in a high-energy, fast-moving environment is crucial. This position requires a polished, professional communicator with a knack for multitasking, a proactive approach to problem-solving, and a high degree of discretion. You must be able to work independently without a lot of detailed guidance, stay calm under pressure, and pivot quickly at times to handle a wide variety of activities.
This is a hybrid role based in Atlanta, GA with frequent travel required.
Your MissionExecutive Support and Operations
- Serve as the CEO’s “right-hand person.” Handle all tactical details and adjust dynamically to frequent changes, freeing the CEO to focus on strategic leadership and decision-making.
- Communication: Serve as the primary point of contact between the CEO and internal/external stakeholders. Build the business context needed to filter inbox, coordinate responses, and manage volume in a timely manner. Draft and proofread correspondence on behalf of the CEO, matching voice and business context as needed.
- Calendar Management: Efficiently manage the CEO’s complex calendar, including internal meetings, customer engagements, and industry conferences, and coordination with all relevant stakeholders to ensure schedule is optimized and aligned with strategic priorities.
- Travel: Accompany CEO to customer engagements, conferences, or office locations up to 2 weeks / month. Arrange complex travel plans, including commercial and private flights, accommodations, and itineraries domestically and internationally.
- Foster Collaborative Relationships: Cultivate and maintain positive, effective, and collaborative relationships with the executive assistant team, both within the organization and with external stakeholders. Work closely with team members to support shared goals and ensure smooth, timely coordination and communication.
- Confidentiality: Maintain confidentiality regarding sensitive information, correspondence and documents.
- Problem Solving: Anticipate potential issues and proactively address challenges that may impact the CEO. Demonstrate agility and resilience in a dynamic work environment
Customer Engagement
- Customer meetings: Coordinate detailed briefing documents in partnership with account teams to ensure CEO is adequately briefed in advance of customer engagements, facilitate CEO attendance at industry events.
- Executive presence: Professionally represent the “Office of the CEO” to customers, partners, and investors.
- Event Coordination: Plan and coordinate executive events, meetings, and conferences. Ensure all logistics are executed flawlessly and the CEO's participation is optimized.
Personal Support
- Provide assistance with the CEO's personal scheduling, including family and personal appointments, and manage personal tasks and errands with discretion. Coordinate personal travel arrangements and accommodations, and support event planning for personal and family-related functions.

Your Experience Includes
- Bachelor’s degree required
- 10+ years’ experience in executive administrative assistance, including C-level executives, with experience directly and indirectly managing a team of administrative assistants
- Previous experience in a fast-paced, global software company or similar industry, ability to learn key business and product details to improve the context of your work product
- Strong proficiency in Microsoft Applications (Outlook, Teams, Word, Excel, PowerPoint) and experience with scheduling and travel management tools, sales software such as Salesforce and Gainsight, and emerging efficiency technologies such as ChatGPT
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Proven ability to handle confidential information with discretion
For California, Colorado, Connecticut, Nevada, New York, Rhode Island, and Washington-based candidates: the annual base pay range for this role is listed below. Within this range, individual pay is determined by several factors, including location, job-related skills, work experience, and relevant education and/or training. This role may also be eligible for discretionary bonuses, equity, and/or commissions, as well as benefits.

Beyond that, we give our leaders and teams the flexibility to set additional guidelines based on the nature of your role.
- Location-flex: Similar to other companies’ remote policies, for OneTrust “Location-flex" roles, you will primarily work from your home office location. However, you may be required to travel to our OneTrust offices or customer sites periodically based on the nature of your role.
