THE WORK:

We are seeking a versatile and multifaceted Senior Executive Assistant to join our Ripple Prime team in London and be at the forefront of our fast-paced and exciting environment!

As an Senior Executive Assistant at Ripple, you will have a pivotal role in ensuring smooth operations and providing high-level support to our senior executive. You will be responsible for managing sophisticated calendars, coordinating meetings and events, handling confidential information, and being the go-to person for all administrative needs. WHAT YOU’LL DO:

Executive Administrative Support:

  • Executive Assistance: Provide administrative support to executive senior team member, including scheduling meetings, managing calendars, and handling events or correspondence.
  • Team Support: Support various regional departments with adhoc requests, the HR department in recruitment coordination activities, onboarding new employees, workspace setup, compliance training and day 1 access to WIFI, desk space etc.
  • Travel Coordination: Arrange travel itineraries, accommodations, and transportation for team members when necessary.
  • Document Preparation: Assist in creating, formatting, and proofreading documents, presentations, and reports.
  • Vendor Communication: Liaise with vendors and service providers, ensuring timely deliveries of goods and services, and maintaining vendor relationships.
  • Financial Administration: Assist in processing invoices, ramp expenses, and other financial transactions as required, tracking expenses for office spend, and managing office budgets.
  • Events Management: Assist in planning and coordinating office events, meetings, trade shows, conferences, and departmental team-building activities.

Office Management (Temporarily, until offices are combined in 2026):

  • Office Operations: Oversee day-to-day office operations, implementing and maintaining office policies and procedures for maximum efficiency, ensuring a well-functioning and organized workspace.
  • Facility Maintenance: Collaborate with building management for facility maintenance and improvements, ensuring a safe and comfortable working environment.
  • Vendor & Supplier Management: Monitor service contracts, including cleaning, maintenance, and security.
  • Supply Management: Manage office supplies, equipment, and inventory, ordering and restocking as needed.
  • Health and Safety: Ensure compliance with health and safety regulations, maintaining emergency response procedures and addressing safety concerns promptly.
  • IT Support Coordination: Act as a liaison between employees and the IT department, reporting technical issues and coordinating resolutions. Assist with IT equipment setup and maintenance.
  • Visitor & Guest Services: Welcome and assist visitors and guests, ensuring a positive and professional experience. Arrange meeting rooms and refreshments for client or guest visits.
  • Event Coordination: Assist in planning and coordinating office social events, meetings, and team-building activities.

Communication and Correspondence:

  • Act as the primary point of contact for internal and external inquiries, directing communications as necessary.
  • Manage incoming and outgoing mail, packages, and courier services.
  • Ensure a prompt response to emails, phone calls, and inquiries.

WHAT YOU'LL BRING: 

  • 8+ years proven experience working as an Executive Assistant
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Priority on working hard-working, over working hard with a focus on the big picture at all times
  • Proactive approaches to problem-solving with strong decision-making capability
  • Proven track record to handle confidential information with discretion and demonstrate the highest level of customer/client service and response
  • Outstanding Hands-on written and verbal communication skills
  • Hands on experience with Google Apps and Concur
  • Passion for excellence and working in a team environment with a strong company culture
  • Previous startup experience a plus
