Senior Facilities & Safety Specialist
We are looking for a Senior Facilities & Safety Specialist to drive office logistics, workplace safety, and employee engagement initiatives. In this role, you will help support and enhance office operations, ensure compliance with health & safety regulations, and contribute to a safe, efficient, and engaging work environment. Reporting to the Manager, Global Facilities EMEA, this role is ideal for someone passionate about facilities management, workplace safety, and employee experience in a dynamic, global setting.
WHAT YOU’LL DO:
- Oversee facilities operations for the Luxembourg office,, and support additional office locations as needed, collaborating closely with leadership to ensure seamless workplace management
- Act as a Facilities & Health & Safety representative, ensuring compliance with workplace safety regulations, policies, and best practices across office locations
- Lead workplace safety initiatives, including enforcing health & safety policies, conducting risk assessments, and maintaining regulatory compliance documentation
- Develop and implement emergency response protocols, oversee evacuation drills, and coordinate workplace safety training to ensure employee preparedness
- Build and manage relationships with facilities vendors, suppliers, and contractors, ensuring high-quality service and cost-effective solutions
- Collaborate with the Global Facilities Team to seek continuous improvements, develop maintenance plans, coordinate office moves, and schedule repairs as needed to support our operations
- Manage and resolve Facilities-related requests through Zendesk, ensuring timely issue resolution for EMEA offices while providing cross-regional support as needed
- Oversee travel and logistics support for C-suite and senior leaders, ensuring smooth coordination of accommodations and transportation
- Track budgets and invoices to ensure cost-effective facilities and event operations
- Serve as the primary liaison with regulatory bodies, occupational health services, emergency responders, and workplace safety authorities.
- Develop and implement global employee engagement initiatives, ensuring an inclusive experience for both remote and in-office employees.
- Work with Employee Resource Groups (ERGs) to help with any catering and/or in-office help for ERG events
- Perform other related duties as assigned
WHAT YOU’LL NEED:
- Experience in facilities and/or project coordination: 5-8 years of related experience
- Experience managing global event (in-person and virtual)
- Experience with workplace health & safety, risk assessments, or occupational safety compliance is an asset
- Completion of or willingness to obtain the required Health & Safety Designated Worker training in Luxembourg within 12 months of hire, as per local regulation
- Excellent organizational skills
- Solid understanding of monitoring and tracking budgets
- Process/Project Management: skilled at figuring out and managing the processes and timelines necessary to get work accomplished
