The Senior Manager, ADA Accommodations oversees the administration of the Americans with Disabilities Act (ADA) Accommodations program for all US business units and locations. They are responsible for implementing standardized policies and practices, training and educating employees, HR and managers as well as maintaining all records and managing follow up. They will work in close partnership with HR, legal, Workers Compensation, the business and facilities as well as Benefits and Leave of Absence stakeholders to ensure both compliance with the law and company programs are met, and a positive employee experience is achieved.

 

You Will:

  • Engage in the process of determining eligibility of employee accommodations through review of documentation, consultation with department managers, employees, legal and other stakeholders to determine whether requests falls under the ADA and what is reasonable to implement
  • Provide overall coordination of reasonable accommodations under the ADA
  • Collaborates with all site locations and involved parties to evaluate medical information, restrictions/limitations, and accommodation requests
  • Manage and lead all 1) discussions with the employee, their manager, and HR, 2) evaluations, 3) record keeping, 4) identification and implementation of accommodations, 4) monitoring, 5) accommodation notification/documentation, and 6) consultation with partner teams such as Workers Compensation and Benefits/Leave Teams as needed
  • Track and document all requests and arrangements and ensure consistent response in the context of the job descriptions and operational needs
  • Provides support and guidance to HR and management in providing guidance on all aspects of accessibility and accommodation for the Company including physical and mental health, and supporting technological and other associated workplace accommodations, short or long term
  • Support DEI initiatives and efforts including participation on committees or conducting trainings as requested  
  • Make recommendations for policy and process improvement including ongoing review and development of procedures in partnership with legal, compliance and HR
  • Serves as a point of coordination on religious accommodation requests  
  • Perform accommodation services to ensure compliance with regulations, Company policies, and standard work to support employee requests for accommodations in safe and productive assignments.
  • Audit case management and accommodation process for end‐to‐end case management; this includes working with the employee, operations leaders, work location, and other stakeholders.
  • Develop transitional work assignments or long‐term accommodations within the position based on restrictions and available job tasks.
  • Conduct regular trainings and educate employees and HR on complicated aspects of the return to work, accommodation, complex case processes, and LOA program services in partnership with the Benefits team
  • Handle complex issues and cases including the inability to accommodate in close partnership with the Legal team
  • Consult and partner with HR, Safety, Legal, Payroll, Benefits, team members, and other departments/systems as appropriate.
  • Identify accommodation trends and recommend appropriate and consistent approaches for the organization.
  • Implement and administer a job search process for employees that cannot be accommodated.
  • Ensure Compliance with all state and federal regulations in relation to accommodation of disabilities in the workplace.

You have:

  • Bachelor's Degree or above in HR, Business, Employment Law, Compliance  or equivalent experience
  • 5+ Years of related experience such as working with employees on disability, leave of absence, Human Resources, or other employee relations functions.Knowledge of federal and state disability laws regarding access for people with disabilities; specifically, ADA and FMLA.
  • Intermediate experience working with all G-Suite and  Windows applications  
  • A strong customer service mentality and the ability to manage multiple, on-going and complex caseload of disability-related matters
  • Ability to prioritize in a fast‐paced environment with strong analytical and critical thinking skills
  • Ability to make decisions to ensure compliance with the HelloFresh accommodations protocols in partnership with critical stakeholders
  • Demonstrated experience managing cases from intake to closure with a high degree of accuracy, resolution, and employee satisfaction
  • Understanding of disabilities and their impact on a person’s independence and employment opportunities.
  • Must possess strong communication and active listening skills to build sustainable working relationships throughout the organization.
  • Must possess a proactive relationship style to deal with all issues that may be sensitive in nature.
  • Attention to detail and excellent interpersonal, problem-solving, listening, verbal and written communication skills
  • The ability to  travel to all sites as needed for meetings, trainings, investigation purposes and building assessments
  • Bilingual or Multilingual verbal communication skills a plus
