The Senior Manager, Workplace Projects will manage workplace and construction projects, including capital investments, retrofitting offices to updated standards, and strategic space planning. This role combines strategic planning, collaboration with cross-functional teams, operational management, budget oversight, and data analysis to deliver effective workplace solutions. The ideal candidate will excel in developing and executing standards and best practices for project delivery, optimizing space utilization, and managing budgets to ensure efficient use of resources throughout the transformation process.

What you’ll be spending your time on:

Project Management and Operations:

  • Lead the planning, execution, and delivery of construction and workplace projects from design through handover, ensuring alignment with scope, timelines, and quality standards.
  • Develop and document standards, processes, and best practices for all phases of workplace projects to ensure consistency, efficiency, and budget adherence.
  • Manage office moves, including creating block plans and seat assignments, and coordinate with cross-functional teams to ensure smooth execution.
  • Negotiate space among user groups to maximize real estate use, improve collaboration, and optimize workflows.

 Budget Management:

  • Develop, manage, and control project budgets to ensure financial efficiency and cost-effectiveness across all workplace and construction initiatives.
  • Monitor expenditures against the budget and provide accurate financial forecasts, ensuring alignment with company financial goals.
  • Identify cost-saving opportunities, negotiate contracts, and manage vendor relationships to optimize budget utilization and maximize ROI on workplace investments.
  • Strategic Planning and Space Management:
  • Analyze and evaluate current and future real estate needs, including space utilization, occupancy costs, and market trends.
  • Develop short-term and long-term strategies for space allocation in new or renovated offices, aligning with company objectives to maximize efficiency and foster innovation.
  • Collaborate with business units to develop demand models for future space needs and refine business requirements into occupancy and space plans.
  • Work with team leads to provide quick turnarounds on move scenarios and strategic space planning, creating polished presentations.

Collaboration and Communication:

  • Partner with cross-functional teams and stakeholders to identify and prioritize business requirements and translate them into effective workplace solutions.
  • Build relationships with business partners to meet allocation and adjacency needs, validating headcount projections and spatial programming requirements.
  • Establish templates and processes to standardize space requests and improve communication across teams.
  • Data Management and Analysis:
  • Ensure spatial data accuracy and maintain data integrity.
  • Conduct data analysis, diagramming, and visualization to support space programming, presentation preparation, and strategic decision-making.
  • Utilize tools like MS Office, CAFM, and data visualization tools like Tableau or Sigma for reporting and analysis.

 

Have you done this kind of stuff?

  • Bachelor’s degree in Real Estate, Construction Management, Facilities Management, Business Administration, or a related field.
  • 7+ years of experience in workplace strategy, facilities management, or construction project management, preferably in a global setting.
  • Strong strategic planning skills with experience in analyzing space needs and developing comprehensive workplace strategies.
  • Proven experience in leading the full lifecycle of a Tech corporate office project >40K sqft.
  • Demonstrated expertise in budget management, with a track record of managing complex project budgets and optimizing costs.
  • Excellent project management skills with a track record of delivering complex projects on time and within scope.
  • Strong interpersonal and communication skills, with the ability to build relationships with senior leaders and cross-functional teams.
  • Experience with CAFM systems and data visualization tools like Tableau or similar.
  • Proven ability to manage multiple projects and priorities in a fast-paced environment.
