You’ll join a high-performing, collaborative Recruiting Operations team that partners closely with recruiters, hiring managers, and cross-functional stakeholders across the globe. As a Senior Recruiting Coordinator, you’ll be the operational backbone for our most complex and high-impact searches, especially for technical and executive roles, helping Intercom scale with speed and precision as we continue to set the standard in AI-first customer service. We currently operate in a hybrid working model and this person will be expected to be in the office in San Francisco at least 3 days a week.

What will I be doing? 
  • Own and execute the end-to-end coordination of interviews for roles across Intercom from technical interviews to senior level openings (Director, VP, and above) managing complex schedules across multiple time zones and stakeholders. 
  • Serve as a trusted partner to recruiters and hiring managers, proactively anticipating needs and solving for last-minute changes with agility and professionalism.
  • Act as the primary point of contact for candidates, ensuring a white-glove experience that reflects Intercom’s values and culture.
  • Facilitate on-site interviews, including greeting candidates, preparing interview spaces, and ensuring a welcoming office experience.
  • Optimize and maintain our applicant tracking system (ATS)
  • Assist with posting job openings on various job boards and Intercom's careers page. Ensure job descriptions are up-to-date and attractive to potential candidates.
  • Champion the candidate experience, continuously seeking ways to raise the bar and ensure every interaction is memorable and inclusive.
  • Represent Intercom’s mission, vision, and values with integrity, and help us attract AI-enthusiasts who are excited to shape the future of customer service.
What skills do I need? 

Essential:

  • Significant experience (3+ years) coordinating interviews for technical and senior/executive roles in a fast-paced, high-growth environment.
  • High level of business acumen; able to understand and anticipate the needs of senior stakeholders and adapt to changing priorities.
  • Exceptional organizational skills, attention to detail, and a sense of urgency.
  • Excellent written and verbal communication skills, with a focus on delivering a best-in-class candidate experience.
  • Proficiency with ATS, scheduling tools, and productivity suites (GSuite, Microsoft Office).
  • Proven ability to thrive in ambiguity, solve problems independently, and drive process improvements.

Preferred:

  • Experience supporting recruiting operations at a technology or AI-focused company.
  • Experience with our tech stack - Greenhouse, Ashby Analytics, Candidate.FYI, Asana, Docusign etc.

*Proof of eligibility to work in the United States is required.

The base salary range for candidates within the San Francisco Bay Area is 76,000 - 97,000. Actual base pay will depend on a variety of factors such as education, skills, experience, location, etc. The base pay range is subject to change and may be modified in the future. All regular employees may also be eligible for the corporate bonus program or a sales incentive (target included in OTE) as well as stock in the form of Restricted Stock Units (RSUs).
