About the Role
We are seeking a proactive, highly organized, and detail-oriented Site Manager to oversee the daily operations of our Puerto Rico facilities and office environment. This position ensures the building runs efficiently and safely while fostering a productive and well-supported workplace for all employees. The ideal candidate is a strong communicator with experience in facilities management, office administration, vendor coordination, and budget oversight.
As a requirement for this role, the selected candidate must be based in Puerto Rico with in-office presence.
What You'll Do:
Building Management
- Daily Operations: Oversee building operations, including supervising maintenance, janitorial, and security teams; coordinating services; and addressing facility-related issues.
- Maintenance Programs: Develop and implement preventative maintenance schedules; manage repair workflows; and oversee emergency maintenance protocols.
- Vendor Management: Negotiate service contracts, manage contractor performance, and ensure service quality for maintenance and repairs, collect certificates of insurance (COI’s).
- Systems Oversight: Supervise the operation and maintenance of HVAC, plumbing, electrical, and other essential building systems.
- Inventory Control: Maintain accurate records and supplies related to building operations and equipment.
- Safety & Compliance: Enforce safety standards, conduct regular inspections, and ensure adherence to local, state, and federal codes and regulations.
- Emergency Planning: Create, update, and execute emergency response procedures, including fire drills and incident response.
- Budget & Cost Control: Develop and manage budgets for building maintenance and operations; identify cost-saving opportunities and optimize resource use.
- Team Leadership: Supervise facility-related personnel; ensure proper training and alignment with operational protocols.
- Tenant Relations: Interact with building tenants, collect rents, show vacant space.
- Bill Paying: Make payments to all service providers, utilities, real estate taxes, vendors, etc
- Create requisition requests in WorkDay related to upcoming repairs and maintenance, utility payments, etc.
Office Management
- Operational Oversight: Ensure a well-organized, efficient office environment that supports employee productivity.
- Administrative Support: Coordinate meetings, correspondence, and general admin tasks.
- Facility Coordination: Manage upkeep and repair of office furniture, systems, and technology.
- Supply Management: Track and replenish office and breakroom supplies; maintain inventory records.
- Budget Management: Monitor office-related expenditures and support financial planning processes.
- Policy Implementation: Assist in developing and enforcing office policies and procedures.
- Event Coordination: Organize internal events, meetings, and celebrations to foster team engagement.
- Communication: Act as a liaison for internal teams and external partners; ensure timely and clear communication across departments.
What We're Looking For:
- Bachelor’s degree in Facilities Management, Business Administration, Commercial Property Management, or related field (preferred).
- 3–5 years of relevant experience in a similar role.
- Proven experience in building or commercial property management (ideally with experience in office management), facilities coordination, or related fields.
- Strong leadership and project management skills.
- Familiarity with building systems (HVAC, electrical, plumbing) and emergency protocols.
- Excellent written and verbal communication skills in both Spanish and English.
- Budget management and vendor negotiation experience.
- Ability to manage multiple tasks and adapt to changing priorities.
- Proficiency in Microsoft Office Suite and Workday is a plus.
- Knowledge of safety regulations, building codes, and compliance standards.
- Certifications in building management (RPA, CPM) or safety compliance (e.g., OSHA, IFMA) are a plus.
- Notary a plus.
